Week 10: Resources and Reminders

Dear Colleagues:   

Happy end-of-spring-quarter! We hope the year wraps up well for you and your students. In this Resources and Reminders email you will find information on the following:

END OF QUARTER REMINDERS  

Awarding Incompletes – We encourage you to exercise care when offering incompletes.  Please remember that financial aid recommends completion of incomplete work within 30 days, which in turn creates a faculty responsibility to assess the work and complete the final eval within those 30 days. The financial impact on students can be devastating if your evaluation of student work arrives late, as it is possible the aid may need to be returned to the federal government. Please be sure to close the loop and post INC credits as soon as possible after work is turned in.    

Deans’ Treats – Please feel free to take a break from evaluation writing and conferences and grab lunch or a snack from the Deans Area Conference room (just inside 2002 Evans) during evaluation week. Treats will be available to you, our hard-working faculty, Monday through Wednesday (June 10-12) from 11 AM-1:30 PM and Monday and Tuesday from 5-6 PM. 

Evaluation Writing – As we move into Week 10 and evaluation week, there is a lot that faculty can do to facilitate the work of program secretaries, who are processing our evaluations, and students, for whom our evaluations are part of their permanent record of learning. Current Learning and Teaching Commons Faculty Scholar Julie Russo recently compiled a helpful Narrative Evaluations of Students Resource Packet, and program support staff also have a more condensed set of Evaluation Reminders to share. These two overlapping documents cover such topics as timeline, guidelines, common errors, and much more to help support your evaluation writing. 

 

Please also reference the following credit policies approved by the Faculty:  

· Credit, evaluations and academic standing  (Please note that the previous Pandemic Interim Credit Policy referenced on that link is no longer in effect.) 

· Amending student records  

· Quarter hour credit award  

· Upper division credit  

· Evaluation writing  

· Completion of academic work 

 

Individual Studies: Please remind students that the deadline for approvals for ILC/INT is Friday, June 7 for summer quarter. Also, confirm all students that you have been working with over the past quarter are registered and show up in your “Class Lists and Evaluations” link in my.evergreen.edu.

STUDENT SUPPORT   

Academic and CARE Team support – As students register for summer and fall and as we move toward the end of quarter, just a reminder that students who need Advising support can email Academic and Career Advising at advising@evergreen.edu . Other communication options students may wish to use can be found on the Advising website at: https://www.evergreen.edu/advising/contact-advisor.   If you have other end of quarter concerns about students, please file a CARE Report.     

FAFSA Support Workshops 

Students can receive assistance with their financial aid applications at FAFSA Fast Track workshops on June 4th and June 11 from noon-1. There will be greenery passes available and the workshops will be held in the back room. There will be 6 Chromebooks for them to use, but bringing their own laptop is also encouraged. Please inform students in your programs and courses of this opportunity! 

Academic Statement: Annual Academic Statements were due on May 17; for seniors graduating in spring, the final transcript-ready version is due June 14. For students who have not turned in their Annual Academic Statement, there is a registration hold blocking them from Summer/Fall registration. If your students are experiencing the registration block, please help them understand the importance of turning in their statement online. 

 

GRADUATION 

Commencement: Evergreen will be hosting an in-person commencement ceremony on Friday, June 14 to honor the class of 2024. Commencement starts at 1pm (more information here: https://www.evergreen.edu/graduation.)  Please plan to stay until the end of the event to celebrate each of our graduates!

SUMMER AND FALL PLANNING 

Summer institutes: A reminder that the Learning and Teaching Commons has opened up registration for 2024 Summer Institutes.   Registration is open through June 10. Please register soon, as space is limited.   

First day of class in Fall quarter: The first day of classes is Monday, September 30. 

Fall Academic Retreat: Our annual Academic Retreat will be held over two days: September 18 and 19, 2024. The agenda for the Retreat is currently being developed by the Agenda Committee and Academic Deans. We’ll be in touch with more details during the summer. 

Orientation: New student orientation is September 26-28. Faculty may meet their expected contribution to Orientation by working new students as assigned on either the 27th or 28th; look for more information as Orientation approaches. More information relevant to incoming students can be found here: https://www.evergreen.edu/orientation. 

Faculty Dates and Deadlines Calendar: Faculty go back on contract on Monday, September 16th. Start-of-year meetings for faculty groups will be scheduled during the weeks of September 16th and September 13rd. Additional information will be sent as details of scheduling are finalized. Watch for an announcement of an updated Faculty Dates and Deadlines calendar sometime in week 10 or eval week of this quarter.
