Hi everyone,
This is the cheat-sheet handout mentioned at the Faculty Meeting last Wednesday on the 13th. Around helping prospective students connect to Admissions if they haven’t done so already. I’m sorry for the delay, I wanted to double check some information and not let it get buried it over the weekend.
I’ve attached two versions. One is for Faculty specifically to reference (that also includes some upcoming opportunities). The other is a more sharable version, that could be directly sent to an inquiring prospective student, if needed.

If you come across prospective students that somehow start with/come to you directly, and you want to re-direct them to Admissions to get started or get more of their questions answered. Below are some of the platforms they can engage with us on:
- Direct Connection
- Email Admissions@evergreen.edu – We have an in-house counselor that answers and/or disperses any emails to an assigned counselor. If you are getting emails from prospective students, you can send them here, or refer students to it.
- Call our Front Desk at (360) 867-6170 – We have a live person on our phone at almost all 8-5 PM work hours. They can pick up and answer quick surface level questions, and direct students with more in-depth needs to Counselors/departments. We also check voicemails everyday so students can guarantee getting ahold of a person, or at least a personal call back as soon as possible.
- Connecting directly with their Counselor – Alternatively, you can direct them to www.evergreen.edu/admissions/meet-staff and they can find their pre-assigned regional Counselor to connect with one on one, through emailing, calling, or by texting, their posted contact info. They can also see who speaks additional languages.
- Daily Virtual Information Sessions – Admissions hosts two virtual Zoom info sessions, M-F for anyone to join. We offer one in the morning, afternoon, and evenings to be accessible for all work schedules/time-zones. They can register here: www.evergreen.edu/admissions/visit-evergreen for their preferred time-slot. In the session they get:
- An “Evergreen 101” presentation,
- Virtual tour of campus/resources,
- To meet a current Student Ambassador,
- To have time for basic questions and follow-up options.
- Monthly Virtual Events – In place of previous events, we are splitting several reoccurring spaces to provide prospective students and families opportunities to engage and learn more about Evergreen. Available info links included below.
- Application Workshops – held the last Tue. of each month to help apply.
- Student Ambassador Q&A Panel – meet current students and get to ask them about campus life, programs, etc. (event info-link not yet available)
- Faculty Q&A Panel for Transfers – ask as set of faculty specifics about your interests, and education at Evergreen.
- Upside-Down Transfer Option Open Forum – specifically for Transfer students who are interested in our unique Transfer options, and general Transfer information.

I know many prospective students go to our Fields of Study/Pathways page, and often start their journey there by messaging faculty. I hope that this can help in instances where that isn’t a viable option. I also want to thank everyone for making this school one I can be proud of (especially in these concerning times). As well as for the work you do to help engage aspiring students, and being patient with any prospective students that accidently come to you too early.

Working Together Further
If you or anyone in your team/department have additional ideas, want to get further involved with prospective students, or have questions, I’d be more than happy to help answer or collaborate! Below are some side-projects we’re working to develop.
Collaborative Events
- FAQ Cheat Sheet – For when you are working with prospective students, there are some Admissions questions you might get that are application/or admissions-world specific. Such as, “Are we a test-optional application school? What’s our acceptance Index? Do you have an Upside-Down Transfer Option? What’s the average FinAid award package? Is there a required college interview? What sports do you have?” We have a drafted list of short answers/places to direct students if you choose to tackle these questions with them.
- Displaying Evergreen Excellence – I’m hoping to invite prospective/deciding students to attend public events. In order to demonstrate our work/projects and help them envision what they could be doing at college/Evergreen. If you have appropriate showcasing links, upcoming events, or other opportunities, please keep us in mind. And feel free to forward them to josephm@evergreen.edu so we can invite and/or bring along inquiring students! We’ll keep an eye on the Faculty/Staff DL for regularly shared opportunities that seem appropriate.
- Winter Preview Day – And semi-lastly I’m hosting an “Open House Event” (or in past referred to as “Preview Day”) this Winter Quarter to allow prospective students and their families to engage with different departments of the college. In order to build a relation with, or get answers to their in-depth questions. If your department or anyone from it is interested in collaborating on this event, email josephm@evergreen.edu. I’ll be hosting some open planning meetings in late January, and an optional practice run.
- The beginning will include a Virtual Information Session for students. Then similar to the most recent Academic Fair, students will have a list of campus groups hosting Zoom meetings, and can join them as they wish. These presentations/Q&A sessions are largely up to the hosting campus group.
- There will be a provided schedule, and list of the groups with their Zoom links for student participants, and staff/faculty to reference. With some suggested break times.
- After the event (and alongside the event), there will be an application workshop, and possibly a space for college interviews for students if they wish to have one.
