Hello Summer and Fall Faculty,
Quick Overview of this email:
- The academic fair will be held via Zoom sessions on Wednesday, May 27th from 4-6pm.
- Academic offerings will be held in breakout rooms within a Zoom session. Zoom links will be provided prior to the fair.
- If you have not yet done so, you must fillout this webform by the end of today so academic technologies and media have the information needed to create the structures for the fair (a listing for your offering, handout and a zoom link). We need each faculty to fill out the form, not just one per program. If you don’t fill out the form, you won’t have a zoom link created for you to talk with students at the fair. Please turn in the form even if you don’t have a handout ready.
After the webform closes, we will begin assigning offerings/faculty teams to Zoom sessions.
How will the Zoom sessions work?
Each Zoom session will have a host and a chat moderator/bouncer. Students will enter the waiting room and be admitted to the main room by the host where they can talk or chat with the host. The host will then move them to the appropriate breakout room. The chat moderator/bouncer will float between the breakout rooms to help monitor chat. Should you experience a disruptive attendee, you can call upon the moderator to help with the situation so you may continue meeting with others.
How will sessions be organized?
Zoom sessions for undergraduate offerings will be organized alphabetically by fall program/course title or summer title, if faculty is teaching only in summer. Each offering/faculty team will be assigned to a breakout room within the Zoom session. Breakout rooms will be limited (no more than 10) to keep numbers of individuals in each session at a manageable level.
Graduate level offerings will be in a separate Zoom session, organized by graduate program.
Likewise, student support services will be in separate Zoom session(s). This includes Academic and Career Advising, Registration and Records, Academic Deans, First Peoples Multicultural, Trans, and Queer Support Services, CCBLA, International Studies, Veterans Resource Center, The Writing Center, and QuASR.
How will I know which Zoom session I am in?
Zoom links will be available on a WordPress site: https://sites.evergreen.edu/academicfair/fair-listing/. You can already visit this page to see what it looks like (evergreen.edu login needed). You can sort by faculty name (first and last), offering title and quarter (summer or fall). On Academic Fair day, this site will be publicly available so faculty, students (including potential students) and staff may access it. Links to Zoom sessions will be posted closer to the date of the fair, to minimize potential security issues. We will have extra sessions created and back up plans for the entire event, in case of technical issues or large-scale disruptions.
If you have already completed the webform, thank you for providing us with your information. If you have not yet done this, please do so by the end of the day so we can prepare a Zoom link for you.
