Week 5: Resources and Reminders

At the midpoint of spring quarter, Spring itself is finally here. We hope you and your students are enjoying the season. In this Resources and Reminders message you’ll find information on:

MID-QUARTER REMINDERS
Week 5 Check-Ins: It’s Week 5, and time for mid-quarter check-ins with students. Please ensure that you contact all students who may face the possibility of not earning all credits so far this quarter, by Friday, May 3rd. Let students who may not be earning full credit know what they need to do to earn full credit, with a schedule for completing the work, if possible. Please consider that for students who are on track towards earning no credits at all, advising them to drop the course may be a good course of action (This could prevent a Required Leave of Absence down the line). When you communicate with students, we encourage use of supportive language such as “academic concern” or “academic progress” rather than “warning” or “in danger of losing credit.” Please encourage students to visit an academic advisor, and/or resources like the Writing Center or the QuaSR Center. For students you are concerned about (e.g., they have missed a lot of class or aren’t responding to your outreach) consider filing a CARE (Campus Assessment, Response & Evaluation) report to help connect the student with additional support. Processing No Credit Reports: Do you have students who have dropped your program but still appear on the roll? If it’s appropriate, and if you haven’t already done so, it may be useful to fill out a no-credit report on my.evergreen.edu under the “class lists and evaluations” link, indicating the last date of attendance. By filling this out before the end of the quarter, the student will get notices regarding financial aid reimbursement and other registration actions much earlier than they otherwise would.
STUDENT SUPPORT
Week 7 – Academic Fair (for Summer and Fall 2024) will be held ONLINE Wednesday, May 15, 2024. Faculty registration information will come out via email soon.
Registration week for summer and fall quarters will begin on May 20, 2024. Due to delays in the new FAFSA students may face more uncertainty about their financial aid and be hesitant to register. Please encourage them to register; the FAFSA delays do not mean they will not be able to obtain the financial aid they need, and students whose financial situation has not changed substantially from the previous year will typically receive similar and often larger awards for 24-25.
Academic Statement: Annual Academic Statements are due on May 17; for seniors graduating in spring, the final transcript-ready version is due June 14. Email reminders have been sent to faculty teaching undergraduate students reminding you that the academic statement hold, which was suspended for the pandemic, was reinstated last year. For students who have not turned in their Annual Academic Statement, there will be a registration hold blocking them from Summer/Fall registration. Please help your students understand the importance of this deadline!
There will be an Academic Statement Support session with one-on-one feedback from CAT/Path leaders on Academic Statement drafts, on Wed., May 17th 1-3pm (Purce Hall, Classroom 6) .
The Writing Center is available to provide support for students as they draft, revise, and edit their statements. In addition to in-person and virtual appointments, we also have resources on our website including A Guide to Writing Your Academic Statement. Commencement: Evergreen will be hosting an in-person commencement ceremony on Friday, June 14 to honor the class of 2024. Paths of Study Celebration of Graduates will take place in Purce Hall from 10:30-11:30. Commencement starts at 1pm (more information here: https://www.evergreen.edu/graduation.) Tacoma and NPP graduation events are on Saturday, June 15.
SUMMER AND FALL
Catalog checks: Faculty, please check your summer and fall offering(s) in the Catalog. Please check the description, class fees, schedule (including field trips), and the CRNs. If you would like a variable credit CRN, the earlier it can be requested, the better!
- Class hours reminder: Also, please look at the schedule you have requested; please make sure there is an alignment between class hours (counted as 50 minutes) and credit hours in your class/program. Please contact the deans if you have questions.
Summer institutes: A reminder that the Learning and Teaching Commons has opened up registration for 2024 Summer Institutes. Registration is open from April 29-June 10. Please register soon, as space is limited.
