As part of a close-knit team in the Southeast Region, you will serve as the first point of contact for our customers, ensuring they receive efficient, responsive, and friendly service. You will reply to outside and internal inquiries, telephone calls and e-mails, utilizing specialized knowledge of the Southeast Region of DNR to provide information, respond to member requests, and answer questions regarding agency services. As the first contact for the Southeast Region, you will be expected to exhibit professionalism in all interactions with customers and to maintain reliable and consistent attendance at the workplace.

Duties
Responsibilities:
This position serves as the Southeast Region Receptionist. Providing exemplary customer service through frequent contact with the public and staff. This position transfers phone calls, or emails, to the appropriate program personnel. Retrieves messages from the after-hours phone line and distributes messages accordingly. Resolves problems, responds to inquiries regarding procedures and services, receives, screens and refers visitors. Orders supplies and equipment, maintaining the Southeast Region office, cleaning and medical supply inventory. Processes the Region’s daily incoming and outgoing mail according to established procedures. Maintains the postage meter, postage metering supplies, and orders and reconciles additional postage. Maintains and updates the Region phone tree. Assigns pool vehicles to employees upon request. Issues wood cutting permits. Maintains records of incoming and outgoing correspondence. Disposes or transfers correspondence per Washington State guidelines. Attend meetings on behalf of supervisor, represents supervisor in supervisor’s absence.

This position will also utilize various software to process correspondence and fiscal items which may include equations, formulas, and specialized terminology. Enter monetary transactions daily into the Cash Journal. Verify entries are complete and accurate before finalizing electronic transactions. Create sales orders for non-contract monies received. Complete and or process invoices and other fiscal items, including Boot Reimbursements, LOA’s and Mileage Equipment reports.

Qualifications
Required Qualifications: 

  • High School Diploma or equivalent AND two (2) years of clerical experience requiring keyboarding or typing.
  • Ability to Multitask.
  • Proficient in computer skills i.e., Microsoft Office software (Word, Excel, Outlook).
  • Excellent Interpersonal Skills.
  • Self-Starter, requires minimal supervision.

  • Ability to effectively address inquires regrading rules, regulations, policies, department procedures, and department services.
  • Ability to demonstrate excellent oral and written communication skills.

Special Requirements and Conditions of Employment:

  • Position is assigned to the Southeast Region Office (95%). Work environment consists of an office setting. Must be able to move appropriate records/mail boxes (25lbs.) as needed to complete assigned tasks.
