Job Description

10,000 Years Institute seeks a highly motivated and dependable candidate to fill an Office Administrator position with remote and on-site flexibility.  The OA provides foundational support to 10KYI’s education, restoration, and applied research projects and contributes to meaningful work and local jobs in restoration around the Olympic Peninsula. The ideal candidate will be collaborative, detail-oriented, and eager to learn and grow with us.

The position reports to 10KYI’s Executive Director and works closely with off-site accounting and bookkeeping contractors. Opportunities to expand skills include working with Geographic Information Systems software and attending trainings in all of the 10KYI focal areas.

Essential Duties & Responsibilities 

  • Ensure efficiency and effectiveness of the daily operations of the 10KYI office
  • Create, organize, update, and manage personnel and project records and databases
  • Design and maintain filing systems (paper copies and e-filing via Microsoft SharePoint)
  • Perform bookkeeping tasks including timesheet management, creating invoices, managing bills and payments, and tracking grant funding
  • Perform data entry tasks using Microsoft Excel, including tracking field operations using 10KYI spreadsheet and pivot table formats
  • Prepare and oversee the completion of 10KYI treatment forms and records
  • Track stock and order office supplies and field gear
  • Prepare and send weekly fieldwork schedule
  • Participate in job interviews alongside Executive Director and oversee onboarding process for new hires (completion of hiring documents, creation of timesheets, etc.)
  • Contribute to grant reporting tasks
  • Contribute to the creation and distribution of outreach materials (flyers, pamphlets, etc.)
  • Perform other administrative duties, as requested and necessary
  • Maintain presence at 10KYI’s office when staff is conducting fieldwork, at trainings, or meeting landowners/partners

Required Qualifications

  • High school diploma or GED and 3-5 years’ experience as an office administrator, office assistant, human resources specialist, or other management role – OR –
  • Bachelor’s degree in related field and 1-3 years’ experience as an office administrator, office assistant, human resources specialist, or other management role
  • Excellent organizational and time management skills
  • Familiarity with office management and accounting principles
  • Proficient in computer software applications, including MS Office (Outlook, Excel, SharePoint) and Adobe
  • Strong typing and data entry skills
  • Excellent language and writing skills, spelling and grammar
  • Familiarity with office equipment, including printers and scanners
  • Ability to prioritize tasks
  • Ability to respond to unexpected requests for support, solve problems, and maintain a professional demeanor
  • Ability to communicate effectively with a diverse audience
  • Familiarity with Olympic Peninsula communities and watersheds

Preferred Qualifications (Not Required)

  • Educational background and/or degree in administrative studies, HR, or relevant field
  • Experience working with a non-profit organization and/or grant funding
  • Knowledge of natural resources and recreational management and uses on the Olympic Peninsula (knowledge of invasive plants is a plus)

Pay & Benefits

  • $18-25/hour DOQ

  • One hour paid time off (PTO) per 40 hours work – for vacation and illness
