Duties
This position reports to the Boating Program Manager and serves as the principal assistant to the Boating Program Manager.  This position will provide administrative support to the Program Specialist 5’s and may supervise the Customer Service Specialist 2 and the Office Assistant 3. The Administrative Assistant is required to use independent judgment and develop/implement work methods for the work unit in order to manage and effectively complete complex and routine job assignments.  
 
Duties include, but are not limited to:

  • Serve as principal assistant to the Boating Program Manager (BPM) and supports the Program Specialist 5’s (PS5)
    • Acts as point of contact for BPM for operational and confidential communication, internally and externally. Receive requests and prepare information or respond on behalf of the manager.
    • Serve as liaison between BPM and staff. Coordinate work unit assignments. 
    • Maintain calendar, schedule appointments and meetings with staff, handling all logistical issues; arrange facilities, prepare agendas coordinate materials and resources.  
    • Develop original work products and coordinate special projects as assigned.  Research, compile, and analyze information.  Keep BPM informed of status.  Present work products to Operations or Boating teams as assigned.
    • Review all documents requiring BPM’s approval for accuracy and completeness prior to presenting for approval.  
    • Draft and/or review correspondence requiring BPM’s signature. 
    • Coordinate all personnel matters requiring BPM’s or PS5’s review, keeping all matters confidential.  
    • Arrange travel and prepare travel reimbursement for the BPM or PS5.
    • Occasional travel is necessary to attend offsite meetings or trainings. 
    • Work on project teams or workgroups as assigned regarding administrative matters. 
  • Provide administrative, contract, and facility support for Boating Program
    • Coordinate all purchasing and billing for Boating.
    • Serve as the point of contact for work unit facility contracts and facility projects as assigned.
    • Maintain informational resources.
    • Provide oversight for all forms related to work unit processes and complete any necessary revisions as needed.
    • Coordinate constituent correspondence process for Boating.
    • Assist Boating program staff as needed and directed.

Qualifications
REQUIRED QUALIFICATIONS:

  • One (1) year as an Administrative Assistant 2 

OR

  • Highschool graduation or GED. 
  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work .

AND

  • A valid unrestricted (except for corrective lenses) driver’s license.

**Additional experience may be substituted for education on a year-by-year basis.

DESIRED QUALIFICATIONS:

  • Bachelor’s degree in business, public administration, or a closely related field. 
  • Three (3) years of experience composing business correspondence and reports.
  • Two (2) years of experience with Excel, with at least one (1) year at the intermediate level.
  • Six (6) months of experience of supervisory experience. 
  • Knowledge of state government functions and processes.
  • Experience working in a confidential environment.
  • Desire for a career in a Natural Resources Agency or Outdoor Recreation sector.
