Picture yourself providing confidential, time-sensitive administrative support services for the Wildlife Director, Deputy Wildlife Director, and Wildlife Program Division managers.

This is an opportunity to conduct complex administrative duties to support WDFW and the Wildlife Program’s goals and objectives.

Duties

Our Administrative Assistant 2, 

  • Schedules and maintains calendars.
  • Conducts trainings and directions when needed for staff.
  • Coordinates personnel issues such as recruitments, selections, appointments, and promotions.
  • Reviews work of professional staff to assure the input/output is in conformance with rules, laws, and policies.
  • Explains and interprets complex rules, policies, and operating procedures.
  • Coordinates and arranges travel, meetings, and conferences.
  • Ensures proper paperwork is on time.
  • Processes forms and documents per Office of Financial Management (OFM) and agency policies, and rules.
  • Develops and prepares agendas, itineraries, correspondences, and other documents.
  • Coordinates advisory council and division meetings.
  • Arranges the meeting room space, refreshments, lodging, and travel for various advisory councils.
  • Captures minutes at the Wolf Advisory Group (WAG) meetings.
  • Prepares and distributes agendas and submits meeting and travel documentation for reimbursement.
  • Coordinates weekly/monthly reports.
  • Answers phone calls and emails about the Wildlife Program activities.

WORKING CONDITIONS: 

  • Work Setting, including hazards:
    1. Work is generally performed in a busy office setting with multiple distractions throughout the day.
    2. Most tasks involve sitting/standing at a desk and working on a computer.
    3. The duty station for this position is in Olympia, Washington. Due to the COVID-19 pandemic, many of our positions do remote work or telework (a combination of office and remote).  When the workforce is approved to return to an office setting, remote or telework may be considered.
  • Schedule:
    1. Typically, Monday – Friday – 8:00 a.m. – 5:00 p.m.
    2. This position may be required to work occasional weekends and evenings to meet workload demands.
  • Travel Requirements:
    1. Travel is minimal, may include in-state overnight stays.
  • Tools and Equipment:
    1. Computer hardware/software, multi-line phones and general office equipment.
  • Customer Interactions:
    1. External and internal customers.

Qualifications

REQUIRED QUALIFICATIONS: 

  • High school graduation or GED.

AND

  • Three (3) years of progressively responsible experience in office/clerical, secretarial, accounting, or general administrative work.

Please Note: Formal education will substitute year-for-year for the required experience.

PREFERRED QUALIFICATIONS:

Ability to: 

  • Absorb new information, understand, and interpret verbal and written direction, and question or clarify appropriately.
  • Adapt to change and willingly accept new assignments or projects.
  • Multi-task under stress and prioritize competing assignments in tight timeframes.
  • Work with top-level management and key stakeholders to facilitate selection, prioritization, and approval of projects.
  • Apply LEAN concepts.

Knowledge of: 

  • Washington State policies and procedure to include knowledge of OFM regulations, governmental budget concepts, travel regulations, the legislative process, and the Administrative Procedures Act.
  • Hunting regulations.

Skills: 

  • Advanced computer skills including Microsoft Outlook, Word, PowerPoint, SharePoint, and Excel programs.
  • Demonstrated commitment to customer service, with excellent verbal and written communication skills (including the use of proper grammar, spelling, and punctuation).

Certifications/Licenses: 

  • A valid Washington or other State Driver’s License.
