Position Details
This full-time unrepresented position is exempt from civil service in the Boards Program; an organizational segment of the External Programs Division. The Boards Program includes four members: program manager and two policy advisors who have a strong sense of teamwork and innovation, and you! This position is eligible to telework but is frequently required to report on-site to meet business needs including providing in-person training and attending on-site meetings. This position will not be eligible for out-of-state telework.

The Boards Program Coordinator plays a central role in supporting effective operations of the Puget Sound Partnership’s four boards: the Leadership Council, Science Panel, Ecosystem Coordination Board, and Salmon Recovery Council. We are seeking a creative, committed, and collaborative individual to join our Boards Team. In this role, you will experience a unique blend of administrative support, project management, and collaboration with internal colleagues and external partners who are dedicated to restoring Puget Sound. You will have opportunities for professional growth such as training, conferences, participating in (or hosting) topic work groups, and proposing creative solutions.

The annual starting range of compensation for this position is between $71,500 – $79,000 depending upon qualificationsThe full position salary range for this position is $71,500 – $86,500. Hiring supervisors can negotiate employment offers with candidates for this recruitment within the boundaries of the starting salary range based on a formulaic approach. The position range is the broader range the newly hired person can expect their salary to grow during their tenure in the position. Salary ranges will increase when future legislatively approved general wage increases for non-represented state employees occur.
 
CONDITIONS OF THE WORKING ENVIRONMENT (with or without accommodations):
Core business hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. There are times when irregular hours will be required. The nature of this role relies heavily on remote and in-person collaboration. This position may require you to work more frequently in an office setting than others if you’re unable to effectively conduct work remotely or as business needs arise. Travel requirements could be 2-3 days on a monthly basis for performing work duties at various board meeting sites in the Puget Sound region. Duties of this position require the use of standard office furniture and equipment, including setup for remote work. The employee is responsible for providing and maintaining a safe, ergonomic, and secure workspace at their remote location. Newly hired employees must begin their appointment within 90 days of the date of accepting the employee offer and the date employment begins. In addition, if currently living outside of Washington state, newly hired employees must relocate to Washington state within 30 days of starting employment and report to the Olympia office headquarters in person on the first day of employment. 

 

Duties

Some of your duties include:

  • Work with board chairs, executive committees, and Partnership colleagues for meeting planning, logistics, and preparation. Responsible for organizing all meeting logistics for in-person board meetings, including venue rentals, catering, lodging, processing expenses, and reimbursements. Assure appropriate and optimum use of the organization’s resources.
  • Support remote, in-person, and hybrid meetings, such as offering technical support, coordinating audiovisual equipment, scheduling, facilitation, chat moderation, writing minutes and finalizing meeting summaries, drafting, and distributing agendas and presentations, or ensuring accessibility.
  • Communicate with and provide meaningful involvement for stakeholders including but not limited to federal, state, and local government agencies; tribal governments; land management sectors; universities; scientific organizations, land trusts; conservation organizations; and the general public. Assist work groups and subcommittees of the boards as needed.
  • Apply adaptive management best practices and common language to all boards’ products, processes, and communications through collaboration with Partnership staff and external partners. 
  • Manage the board’s rosters and other program-related information on the agency’s web site and other platforms to ensure content is continuously updated in a timely manner. Develop innovative mechanisms for cross-boards communication and coordination. 
  • Assist with the preparation and filing of mandatory reports. Responsible for the tracking, recording, and vacancy filling for board member terms. 

 

Qualifications

Required Education, Experience, and Competencies:

  • At least four (4) years of experience providing senior-level administrative support to a board or commission, or other experience coordinating public meetings or large event planning.
OR

  • Associate degree; AND
  • At least two (2) years of experience providing senior-level administrative support to a board or commission, or other experience coordinating public meetings or large event planning.
AND
  • At least three (3) years of experience with Microsoft Office suite including: Outlook, Word, Excel, PowerPoint
  • Demonstrated experience in communicating effectively in equitable ways using active listening, inclusive writing, and speaking clearly, concisely, and persuasively with colleagues and board members.
  • Demonstrated ability to manage multiple deadlines, work in a fluid and demanding environment, and exercise impeccable judgement under pressure.
  • Demonstrated experience in conflict resolution and emotional intelligence. Ability to effectively work independently and in groups while respecting others and their perspectives.
  • Commitment to advancing justice, diversity, equity and inclusion initiatives in the workplace and public service.
Preferred Education, Experience, and Competencies:
  • Bachelor’s degree or above in natural resources, project management, business administration, public administration or closely allied field
  • Experience working with tribal, federal, state and local government, NGO, business sector, and other partners
  • Understands all aspects of the Open Public Meeting Act and the Washington State Records Management Schedule and basic record management for state government. 
  • Familiar with operating and setting up standard sound equipment, including recording, and facilitating and managing technology for hybrid meetings.
  • Has experience with public and community engagement, increasing accessibility to meetings, and creating inclusive meeting spaces for all.
  • Experience in reviewing and proposing revisions to board or commission charters and bylaws.
  • Experience in project management.
