Description

Performs a wide variety of clerical and office tasks in support of Central Services. Provides confidential and specialized support to the County Administrator. Supports accounts payable, equipment inventory, LEOFF 1, and a variety of programs.  Serves as the first point of contact for the Commissioners’ and County Administrator’s office for customers with business for the county. Coordinates and conducts special projects as assigned.

Examples of Duties

Performs a variety of clerical and office tasks, such as typing correspondence, various documents, and spreadsheets. Maintains conference room schedules, distributes mail, and orders supplies. Attend meetings as directed. May take and/or transcribe meeting minutes or other information for meetings, prepare agendas and support materials, prepare information for review. Identify priorities and/or time sensitive matters and maintain security and confidentiality. 
 
Provides technical accounting support for budget and accounting programs under the Central Services purview, to include accounts payable data entry, assembly of vouchers and record management in Excel. 
 
Back up the Receptionist/Secretary 

Schedules meetings and appointments, supports the County Administrator’s calendar.
 
Exercises skill and judgment in dealing with stakeholders to solve complaints, answer a wide variety of questions and provide information.
 
Supports the Motor Pool Program, Current Use Taxation Program, Employee Recognition Program, and the Veterans Assistance Program. This includes screening applications for assistance, issues checks and managing the checking account and performs other duties as assigned.

Minimum Qualifications

Knowledge of:
Office practices and procedures.
Standard office equipment, such as a computer, copier, FAX machine, scanner.
Business English, composition, grammar, spelling, punctuation, and format.
Microsoft Office 
Accounting practices.
County policies and procedures.            
 
Ability to:
Operate a multi-line phone system.
Establish and maintain a professional relationship with the public, the Board, other Elected Officials and County employees.
Communicate effectively, both orally and in writing.
Operate standard office equipment, such as a computer, copier, FAX machine and scanner.
Work independently, prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail.
Establish and maintain filing and record keeping systems.
Maintain the confidentiality of sensitive and confidential information.
Type at least 55wpm
 
EDUCATION AND EXPERIENCE: Any equivalent combination of education and experience that provides the applicant with the knowledge, skills, and abilities required to perform the job. A typical way to obtain the knowledge and abilities would be:
 
High school diploma or GED
Three years of progressively responsible clerical and/or accounting experience.  
 
LICENSES, CERTIFICATES AND OTHER REQUIREMENTS:
Employee’s driving to and from work and/or for any work-related matter must possess a valid Washington State Driver’s License and vehicle insurance or request approval for a reasonable accommodation.
