This recruitment is for a permanent, full-time, Office Assistant 3 position at Parks’ Southwest Region Headquarters located in Tumwater, Washington.

Duties

Under general supervision by the Administrative Assistant, this position performs a variety of routine and complex clerical tasks in support of Southwest Region staff.  The Office Assistant will directly support two Region Managers, a Region Maintenance Manager, an Assistant Regional Manager and an Administrative Assistant.  This position will independently prioritize their workload to ensure project deadlines are met while completing routine tasks on time.

Duties include, but are not limited to:

  • Independently perform routine and complex clerical assignments in support of the SW Region office.
    • Develop and maintain knowledge of state and agency specific policies, procedures, and regulations related to regular job duties.
    • Process and track financial records, film and special activity permits, and personnel documents.
    • Process for signature by Region Manager all Law Enforcement Incident Reports and file.
    • Maintain SW Region Headquarters’ information resources and data collection.
    • Process travel requests and complete required documents.
    • Assist SW Region staff with meeting preparation.
    • Collect and track the completion of timesheets requiring signature by SW Region Managers.
  • Function as the administrative communication hub for the SW Region Office during regular business hours to include processing mail/email, answering phones and responding to inquiries from parks staff and visitors.
    • Serve as point of contact for SW Region for parks, other agencies and the public.
    • Answer phones during regular business hours.
    • Respond to Information requests from parks, other agencies and public.
    • Maintain knowledge of park rules and policies to ensure accurate sharing of information.
    • Process and distribute mail.
  • Independently perform routine and complex clerical assignments in support of SW Region Maintenance Manager.
    • Maintain expenditure tracking spreadsheet for deferred and planned maintenance.
    • Maintain water sample files.
    • Assist in the preparation and coordination of reports or other informational materials.
    • Annually review and update the Employee CDL roster.
  • Serve as the Region Equipment Coordinator
    • Coordinate equipment use to region staff.
    • Serve as the Region fleet coordinator
    • Serve as cell phone coordinator for SW Region Parks.
Qualifications

REQUIRED EDUCATION AND EXPERIENCE:

  • High school graduation (or equivalent).
  • Three (3) years of clerical experience.
  • Valid unrestricted (except for corrective lenses) driver’s license.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must be proficient in Microsoft Office suite (Word, Excel and Outlook).
  • Ability to perform basic mathematical calculations.
  • Ability to effectively handle multiple assignments and competing priorities while making sound decisions to produce accurate and timely work.

DESIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of WA State Parks’ regulations and policies.
  • Ability to work independently while making appropriate decisions.
  • Strong attention to detail.
