The Regulatory Affairs and Center for Sustainability Coordinator will support the office of Governmental and Regulatory Affairs and the Center for Sustainability. The Coordinator will assist in tracking, drafting, and submitting regulatory reports, surveys, and other items. The Coordinator will also assist in managing and advancing University-wide sustainability efforts, programs, and initiatives. Further, the Coordinator will be responsible for a wide array of administrative and executive support-related tasks. This person must be well organized, detail-oriented, and inclined to support an office with diverse projects and priorities. The ability to interact with staff (at all levels) in a fast-paced environment, while remaining proactive, resourceful, and efficient with a high level of professionalism and confidentiality, is crucial to this role. This person must utilize problem-solving skills in a variety of ways, from revising and refining existing policies to rearranging complex schedules. It is vital for this candidate to assess the status quo and the desired final product, then create, and implement, an appropriate plan of action. Advanced written and verbal communication skills, sound judgment, and attention to detail are equally important. This role will report to the Director for Governmental and Regulatory Affairs and Center for Sustainability.

Duties

  • Governmental and Regulatory Affairs

    • Draft, edit, and review complex reports, permit applications, presentations, and other deliverables

    • Track ongoing regulatory requirements and assist in ensuring timely compliance

    • Network with governmental and regulatory officials and their staffs

    • Communicate with high-level consultants including attorneys, environmental experts, and engineers

    • Research, monitor, and report on federal, state, and local legislation

  • Center for Sustainability

    • Promote sustainability programs and initiatives

    • Assist in managing the University’s comprehensive waste diversion efforts

    • Plan annual sustainability events

    • Oversee the external communication and social media including maintenance of the Center for Sustainability website, Facebook, and Instagram accounts

    • Oversee the University’s Rideshare program, including ride-matching, incentive programs, and marketing

    • Become a certified employee transportation coordinator and manage the South Coast Air Quality Management District’s Air Emissions Report and Average Vehicle Ridership Survey

  • Shared Office Support

    • Help maintain departmental budgets and provide regular reports

    • Process invoices, credit card billing, and reconciliations

    • Organize and maintain files

    • Greet visitors and interface with departments and outside vendors

    • Formulate and maintain spreadsheets and databases

    • Prepare for meetings, including catering and meal requests

    • Track and organize projects to ensure departmental and interdepartmental efficacy

    • Assist  with special projects as needed

    • Manage calendars, requiring interaction with both internal and external executives, assistants, and consultants, to coordinate a variety of meetings

    • Maintain recurring administrative calendars and coordinate timing of action items for time-sensitive projects

    • Coordinate travel arrangements, lunches, meetings, and events

    • Provide first level of service on the phones, handling inquiries and directing all incoming calls to the appropriate party promptly and efficiently

    • Review incoming mail

    • Draft and proof correspondence, memorandums, and reports

  • Other duties as assigned.

Skills and Qualifications

Required: Strong interpersonal communication skills; Strong administrative support skills; Strong computer skills (preferably Mac-based); Ability to organize, prioritize, and perform work while under pressure; Ability to proactively address issues and take initiative and ownership of projects; Ability to maintain confidentiality of highly sensitive matters; Ability to routinely and independently exercise sound judgment in making decisions; Ability to work effectively with University administrators, Regents, faculty, staff, students, vendors, attorneys, and government officials; Bachelor’s degree

Preferred: Strong understanding and passion for sustainability; Experience in sustainability, land use planning, higher education administration, and regulatory compliance

This is a Regular, Nonexempt, 40 hour per week position.

Salary: Commensurate with experience.
