The Department of Ecology’s Water Resources (WR) Program is looking for a full-time Receptionist (Office Assistant 3) with exceptional customer service skills, both externally and internally. This position plays a central role in providing ongoing support to staff in the Water Resources Program and requires a tremendous ability to prioritize deadlines and balance multiple tasks simultaneously. The receptionist should be organized, detail-oriented, and act in a professional manner, as they are often the program’s first point of contact. This position requires someone who works well on a team and isn’t afraid to ask questions and offer ideas and solutions.

 

In addition to providing complex secretarial support, we are looking for applicants who possess excellent people skills, the ability to quickly assess a situation and make a decision, and the ability to communicate with a diverse audience. Someone who is outgoing and demonstrates creativity and innovation in developing alternatives or new approaches to solve problems. This position is located in our Headquarters Office in Lacey, WA.

During Healthy Washington Roadmap to Recovery, employees are working a combination of in-office and/or telework based on position and business need. This position is expected to work in the office up to 5 days a week. Ecology is maintaining less than maximum building occupancy, and requiring masks, health screening questions before entry, and social distancing.

What you’ll do:

You will touch all aspects of the WRP offering assistance to all of the sections. Working with staff in both Ecology’s Headquarters and the Regional Offices. Additionally, you will provide support to staff who work on water supply development, well drilling, compliance, dam safety, streamflow restoration, water rights processing, data collection, and other exciting projects.  
 
 Some of the key work activities of this position are: 

  • Receiving and managing customer calls
  • Time accounting coordinator
  • Purchasing Coordinator
  • Working on various independent projects, such as filing, correspondence, update spreadsheet, and scanning 
  • Providing back up administrative support  
  • Administering section SharePoint site 
  • Maintaining process updates and communicating changes with necessary staff
  • Stamping incoming mail/documents and distributing appropriately
  • Developing/retaining tracking systems for tasks

 

Qualifications

 

Required Qualifications:

Must have a High School diploma or GED AND two years of clerical experience.  

Ability to efficiently operate all or some of the following programs: Microsoft Office, Word, Excel, and Outlook.

Experience with multi-line phone, printer, scanning, and fax machine.

 

Special Requirements/Conditions of Employment:

Must have a valid WA State Driver’s license to be able to drive state vehicle for program related purchases, off-site meetings and other business related needs.

 

Desired Qualifications: 

We highly encourage you to apply even if you do not have some (or all) of the desired experience below. 

  • At least two years’ experience performing customer service duties that includes answering multi-line phones and resolving questions from the public over the phone and email.
  • Ability to type at least 40 WPM.
  • Proficiency with Microsoft Office Products such as: Word, Excel, Outlook, and PowerPoint (graphic design), Skype, and WebEx.
  • At least two years’ experience organizing and managing hard copies and electronic files.
  • Strong editing and proofreading skills with at least two years’ experience formatting and proofreading documents (e.g. letters, reports, and correspondence) to meet agency (Governors Executive Correspondence or Gregg Reference Manual) standards.
  • Performing duties which require skill in answering phones, emails, and using a computer as a major tool for performing tasks such as scheduling appointments, using electronic calendars, creating documents using word processing software, entering data into a database, using the internet for basic searches, entering data into spreadsheets, or using desktop publishing software to create documents.
