General Description

The operations coordinator provides a wide variety of support to the Pacific Education Institute’s (PEI) directors, staff and board of directors. This is a part-time position that reports to the Associate Director. Initially, this position will be remote but may later become an in-office position. Travel to the Olympia office will be required at least once per week during remote work.

Primary Responsibilities

Operations Support

  • Primary reception and telephone duties when in office.
  • General office duties: filing, scanning, database entry and maintenance (Excel & Salesforce).
  • Process incoming and outgoing mail.
  • Assist with meeting and event support.
  • Perform general office tasks as needed.

 

Communications Support 

  • Assist with coordination and creation of content, distribution, and analysis for external communications, including but not limited to the monthly newsletter, videos, and social media. Update tracking systems as necessary.
  • Editing and proofreading a variety of documents including grants, letters, marketing and program materials, articles.
  • Assist with the recognition of partners and funders.

 

Finance Support

  • Process monthly credit card reconciliation.
  • Verify weekly deposit reports.
  • Assist with monthly inventory reconciliation.
  • Process invoices and bills to prepare for payment.
  • Prepare and mail semi-monthly bill payments.

 

Desired Qualifications

  • Minimum of 2 years of administrative support experience
  • Excellent interpersonal relationship and communication skills
  • Proficient using Microsoft Office 365, remote technology, and online platforms
  • Experience with design programs
  • Experience with data entry and a strong attention to detail
  • Organizational skills and initiative to problem solve
  • Ability to work independently in addition to collaborating and working in a team environment
  • Commitment to and willingness to learn about justice, equity, diversity, and inclusion

Wages and Employment Information

This is a 20 hour per week position.  Wages are $18.00 – $20.00 per hour dependent on successful applicant’s qualifications and experience.  PEI offers a competitive Employee Benefit Plan prorated based on FTE level and includes paid holidays, vacation/sick leave, health, vision, dental, retirement and life insurance benefits.
