Position Summary

The Operations and Finance Coordinator provides administrative, facilities, finance/accounting and general operations support for The Nature Conservancy’s Washington Business Unit.

Office/Facilities Management (60%)

With the Office Manager, support administration and efficiency in all Chapter facilities, including:

  • Act as primary Seattle receptionist which includes sitting at reception, ensuring that visitors and callers are greeted and directed, including responding to basic inquiries about The Nature Conservancy’s work and referring other inquiries appropriately, maintaining tidy reception and common areas, and processing incoming/outgoing mail, donations and deliveries.
  • Maintain office systems and equipment (i.e. copier/printer, postage meter, kitchen appliances) and track related contracts and agreements.
  • Purchase office and safety equipment and supplies.
  • Maintain relationships with vendors via timely communications and scheduling maintenance requests.
  • Assist with administration of field housing facilities as needed.

 Finance & Accounting (30%)

  • Track and pay invoices using corporate credit card and SAP Concur invoice and expense reporting system.
  • Review employee expense reports for accurate coding and compliance with policies.
  • Set up new vendors and maintain A/P information. Maintain vendor relationships with timely payments and invoice processing.
  • Act as a resource to all staff in answering payment questions.

General Operations (10%)

  • Monitor Business Unit generic email account and maintain central calendar.
  • Maintain shared documents and resources (i.e. directories, policies, guides). Ensure resources are kept current and easily accessible to all staff.
  • Assist with coordination and logistics for office events and staff-wide meetings, including serving as a member of the All Staff Programming Team. May support the IT Technician with A/V troubleshooting in meeting rooms.
  • Assist with vehicle fleet management and administration.
  • May assist with operations related tasks and projects.

Desired Skills & Experience

  • Associate’s Degree and 3 years’ experience OR Bachelor’s degree and 1 year experience OR equivalent combination of education and experience.
  • Ability to act in accordance with our Washington Equity Statement; be respectful of differences of identity and/or beliefs, and successfully work across those differences to meet work objectives.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience providing administrative support.
  • Experience working with basic principles in accounting or in analyzing financial figures.
  • Experience working and communicating with a wide range of people.
  • Experience writing clear, understandable email messages.
