The Oregon Department of Environmental Quality (DEQ) currently has a full-time opportunity for an Office Specialist (Office Specialist 2) located in Eugene, Oregon.

DEQ has a centralized policy and planning component and regional offices to accomplish its mission. There are 3 regions (Northwest, Western, and Eastern). The Regions provide the following services: compliance inspection of regulated entities; enforcement of permit requirements and administrative rules; issuance of air, water, and solid waste permits; investigation of complaints; issuance of subsurface permits in counties; response to spills or other incidents with environmental impacts; direct contact and liaison with other governmental entities, industries, and the public; and technical assistance to regulated entities and the public. What you will do!

As the Office Specialist, you will provide clerical and administrative support for the Western Region Eugene office. Your skills will be utilized to provide excellent customer service, answer phone calls, receive, log, and refer complaints to the appropriate technical program staff, type correspondence/reports, enter and track detailed program information into various databases, ensure compliance with Agency report deadlines, ensure adequate office supplies are procured and at hand, process timesheets for staff, maintain ongoing records for staff, maintain office petty cash fund, ensure that files are maintained and current, coordinate file reviews for the public as well as managing copy jobs for staff as well as the public, perform invoicing as needed, enter and maintain asbestos notification database, log and distribute periodic as well as annual and semiannual air permit reports, and distribute permit issuance timeliness reports. Through coordination and scheduling with other support staff, you’ll also ensure general receptionist and support coverage including general mail delivery and routing during working hours, and provide back up to other support staff as needed.

What are we looking for?

Minimum Qualifications: 2 years of general clerical experience, 1 year of which included typing, word processing, or other experience generating documents; OR an Associate’s degree; OR Graduate from a private school of business with a certificate AND one year of general clerical experience.

Candidates who are most competitive will also reflect the following:

  • Experience entering data and maintaining databases; experience with Microsoft Office products (Word, Excel, Outlook, SharePoint, and Access).
  • Ability to understand and apply technical information and explain that information to stakeholders in both verbal and written form.
  • Demonstrated experience communicating professionally with a diverse population to help build rapport and provide excellent customer service.
  • Demonstrated experience in drafting technical documents in a professional capacity, i.e. memos, desk audits, or procedures.
  • Ability to adhere to deadlines while simultaneously handling the changing needs of the work unit and working collaboratively with a diverse team to assist them with ensuring these deadlines are met.
  • Experience reviewing information or documentation to verify it meets requirements.
  • Experience with records management.
  • Experience in a fast-paced work environment, managing multiple priorities.
  • Experience explaining basic laws, rules, and procedures.
  • Excellent verbal and written communication skills, interpersonal skills, customer service skills, and time management skills.
