This recruitment is for a full-time, permanent, Office Assistant 3 position located at Lincoln Rock State Park in Chelan County, Washington.

Duties

Under general supervision of the Area Manager for the Wenatchee Valley parks, this position independently performs a variety of routine and complex clerical tasks in support of the Area Manager and Area Park Managers ensuring that administrative deadlines and expectations are met. This position handles sensitive information and is key in assisting with the coordination and communication of day-to-day area operations.

Duties include, but are not limited to:

  • Process financial records and keep expenditure reports up to date and accurate for the area.
  • Process payment documents and credit card purchase logs.
  • Track area expenditures, monitor and evaluate budget status and resolve corrections, keep Area Manager updated on status.
  • Maintain credit card, local store credit accounts, office change bag, and petty cash logs.
  • Review each shift’s fiscal reports and check for accuracy, investigate errors, and correct to ensure policy compliance.  Bring issues to Area Manager’s attention.
  • Serve as the primary point of contact for staff during regular business hours.
  • Review mail and email for action items and carryout tasks within your delegated area of operation.
  • Respond to inquiries from Parks’ staff, partnership groups, other agencies, and the public within your area of knowledge, verbally and in writing.
  • Maintain knowledge of park rules and policies to ensure accurate sharing of information.
  • Distribute mail, email, and phone messages.
  • Review written documents for accuracy and completeness following proper rules of grammar and agency correspondence guidelines.
  • Collect, compile, and report regular park data per agency policies and procedures.
  • Manage area records within agency guidelines and records retention requirements.
  • Maintain are inventories as directed; order receive and maintain supplies.
  • Assist with the review and processing of confidential records for the Area Manager.
  • Ensure the efficiency of reservations system operation by guiding park staff and serving as a resource for CAMIS procedures.
  • Process Special Activity Permits per agency policy and procedures.

Qualifications

REQUIRED QUALIFICATIONS:

  • High school diploma or GED.
  • Two (2) years of clerical experience.
  • A valid unrestricted (except for corrective lenses) driver’s license.

DESIRED QUALIFICATIONS:

  • Knowledge of State Government rules and regulations.
  • Knowledge of State Parks’ rules and regulations.

UNIFORM INFORMATION:
All Office Assistant 3’s are required to wear a uniform.  A complete and properly worn uniform helps establish the professional identity of an Office Assistant and promotes respect as a Washington State Parks employee.  Office Assistant 3’s will receive 4 shirts within the first year (2 shirts per calendar year after the first year), 1 baseball cap every year, and 1 jacket every 5 years.Supplemental Information
