The Oregon Department of Environmental Quality has a full-time opportunity available for a Materials Management Office Specialist (Office Specialist 2) in Portland, Oregon.
This position will provide critical office support to DEQ’s Materials Management Program, which is focused on reducing the environmental and social impacts of materials and products throughout their full life cycle. Within Materials Management, the Life Cycle Programs section supports this mission through innovative, collaborative, and research-based work. We work with partners statewide and beyond to pursue Oregon’s 2050 Vision for Materials Management and Framework for Action in order to conserve resources, protect the environment, and enhance well-being.
The Materials Management Program is part of DEQ’s Land Quality Division. Land Quality programs support DEQ’s mission through a wide range of environmental work, including assessing and managing environmental cleanups, promoting manufacturing and recycling of non-toxic commercial products, safely managing the disposal of solid and hazardous wastes, administering the state’s underground storage tank and heating oil tank programs, and responding to spills of oil and hazardous materials. What you will do!
You will provide general administrative and office support for the Life Cycle Programs team within the Materials Management Program, including, but not limited to:
- providing logistical planning support and coordination for various internal and external meetings, trainings, and committees, both in-person and virtual;
- attending meetings and taking notes;
- coordinating staff travel and event registration;
- maintaining manager and staff calendars and regular scheduling;
- ordering, tracking, and reconciling purchases of services and supplies;
- greeting and assisting the public, other State employees and our partners by phone, e-mail, and in-person;
- managing data, developing spreadsheets, and gathering, reviewing, analyzing, and preparing reports;
- providing general office support as needed, including copying, mailing, and scanning;
- drafting, proofreading, editing, and formatting documents;
- conducting research and analysis to support Materials Management projects;
- participating in department environmental justice and diversity, equity and inclusion efforts;
- managing records and coordinating public records requests;
- and providing support to managers and staff on various software, computer, and other equipment.
What are we looking for?
Minimum Qualifications: 2 years of general clerical experience that included keyboarding, word processing, and generating documents, OR an Associate’s degree.

- Familiarity with Microsoft 365 and Office products: Word, Excel, Outlook, OneNote, Teams, and Access.
- Familiarity with business connectivity software such as Microsoft Teams, Zoom or other similar software.
- Experience using standard office equipment such as desktop and laptop computers, printers, copiers, scanners, video equipment, IT ticketing systems, etc.
- Demonstrated customer service skills; ability to act professionally and courteously and build relationships with internal and external individuals, including coworkers, managers, other staff, contractors, and community partners in-person, via e-mail, and via phone.
- Exceptional problem-solving skills and self-starter approach; ability to work independently using ingenuity and available resources to find solutions and generate answers to open-ended questions or complex requests for support.
- Strong organizational and time management skills with an ability to switch priorities or projects seamlessly; ability to manage multiple competing deadlines; high aptitude for learning new things and an ability to pay attention to detail.
- Excellent verbal and written communication skills, as well as interpersonal skills.
- Experience researching, analyzing, and interpreting data, laws, policies, and procedures.
