Salary– 24-30 hr/week. $35-$40/hr

Primary duties include

  • Administrative oversight and management of operations. Supervision of one part-time administrative assistance staff and contractors.
  • Financial sustainability by working with board of directors and dedicated volunteer committees to meet the goal of the 2022 annual fall fundraising campaign.
  • Communication among all constituencies, including board, staff, committees, members, agency leaders, and community partners.
  • Leadership in organization assessment and initiation of strategic planning process.

DUTIES AND RESPONSIBILITIES

Administration & Supervision

  • Foster a culture of inclusiveness, respect, and equitable teamwork among staff, board, volunteers and community partners.
  • Administer business functions of the organization, including personnel, financial and budget preparation for board reports, and monitoring of policies and documents with legal ramifications.
  • Supervise and manage one part-time administrative assistant staff and any contractors.
  • Work directly with Board President, Executive Committee, and other committee chairs to support Board and committee meetings and report out on progress and challenges toward advancing the organizational mission. This includes setting agendas in conjunction with the Board President and/or committee chairs, providing meeting materials, and laying out proposals to address the Board’s priorities.
  • Maintain full transparency and accountability to the Board by providing monthly, timely, and accurate communication on emerging opportunities, strategic progress, finances, and risk management.
  • Complete and submit the 2021-22 Audubon Chapter Annual Report to the National Audubon office by January 31, 2023.
  • Plan for and help implement the transition of the Executive Director. Serve as a liaison with the new Executive Director to include orientation, mentorship, and onboarding support as needed. Lay the groundwork so that person is poised for success and can hit the ground running.
  • Oversee the technological infrastructure, including data management, software and hardware maintenance, and all related contracts.
  • Manage upkeep and utilization of office facilities and coordinate with University Place Parks Department in maintenance of outdoor trails and landscaped areas.

Financial Sustainability and Fundraising

  • Work with board, finance, and development committees to meet fundraising goals that support strategic initiatives with focus on 2022 annual fall and year-end fundraising campaign. Fresh ideas and actions are encouraged. Prior TAS actions include letter-writing, email appeals, and personal outreach.
  • Ensure all accounting transactions and operations follow best practices.
  • Provide monthly and year-end reporting of financials, and other key information to the board of directors in collaboration with the TAS Treasurer.
  • Manage outlay and reports needed for two local watershed stewardship grants.
  • Manage annual budget and cash flow. Work with TAS Treasurer and Finance Committee to assess current budget and develop budget for fiscal year 2023.

Leadership of the Organization

  • Provide an opportune bridge during a time of staff transition and organizational refocusing. Guide the Board, staff, and key stakeholders in assessing operations and capacity in order to develop and adopt an inclusive, forward-thinking, and actionable strategic plan.
  • Review on-line and print marketing and communication materials produced by part-time staff and key committee volunteers.
  • Under the guidance of the Board President, evolve to serve as primary spokesperson for the organization and leading voice for environmental conservation in the Tacoma/Pierce County environmental community.
  • Work with committee leadership to maintain and build partnerships with a variety of organizations, agencies, and businesses to further the mission of Tahoma Audubon, particularly around education and conservation.

QUALIFICATIONS

  • Demonstrated experience as a manager and/or director at a mission-driven non-profit.
  • Proven ability to organize and work in a multi-faceted environment.
  • Track record as a successful fundraiser.
  • Experience developing, managing, and reporting on organizational budgets.
  • Adept at managing part-time and full-time staff.
  • Track record in communicating in a positive and productive manner with diverse volunteer leadership.
  • Demonstrated experience with marketing and public relations.
  • Bachelor’s degree in nonprofit administration, business, communications or related field; work experience in lieu of education will be considered.
  • Strong verbal and written communication skills.
  • Strong computer skills and ability to manage IT needs of office. Experience in QuickBooks Online and data base management, preferably Little Green Light donor management software.
