Background

The Snow Leopard Trust (www.snowleopard.org) is the oldest and largest organization focused on the conservation of snow leopards and their high mountain ecosystems. Out of our headquarters in Seattle, we currently partner with and support field teams in five countries: Mongolia, China, India, Pakistan, and Kyrgyzstan. We also collaborate with governments of all 12 snow leopard range countries via the Global Snow Leopard and Ecosystem Protection Program (GSLEP) (www.globalsnowleopard.org).

The Snow Leopard Trust operates under a $2+ million dollar annual budget, of which roughly 30% of funding comes from grants, both private and public. At any time, the Snow Leopard Trust can receive funds directly or in partnership from entities including (but not limited to) foundations, government departments such as USAID and the U.S. Fish and Wildlife Service, and multilateral agencies such as various arms of the United Nations.

Key Responsibilities

The Grants Manager key responsibilities are to:

  • Oversee large foundation grants and those from the government and multilateral agencies (project management, goal fulfillment, contracts and compliance, spending, reporting).
  • Help coordinate and track disbursement of funds under grant projects.
  • Monitor/track grant budgets and timelines against deliverables and optimize grants administration processes.
  • Produce financial and narrative reporting under grant terms and conditions.

GRANTS MANAGEMENT: 60%

  • Oversee goal/objective fulfillment, track spending, and produce reports, as appropriate on a grant-by-grant basis in coordination with other operations and field staff.
  • Keep track of grant goals and objectives and coordinate with field teams to ensure their completion within the approved timeline.
  • Help keep field staff updated on responsibilities and help track progress.
  • Request changes as necessary and keep paperwork and field updated to changes.
  • Track actual spending against grant budgets and ensure funds are disbursed out as needed; maintain necessary moves and paperwork completed for any changes.
  • Compile information and produce grant reporting (including midterm and annual reports).
  • Keep track of and uphold grant terms and conditions, including filing of necessary auxiliary paperwork and contracts.
  • Keep track of and file all grant-related paperwork and correspondences.
  • Maintain relationships with specific grant funders by arranging meetings as needed with key program staff.
  • Ensure proper acknowledgement and recognition of funders as part of program operations and Snow Leopard Trust publications related to grant activities.
  • Lead and be accountable for specific grant program audits.
  • Attend key meetings relevant to grant fulfillment, including overseas meetings as needed.

COORDINATE WIRES TO FIELD PARTNERS AND OTHERS: 20%

  • Work with the Director of Administration, Finance, and Compliance to manage disbursement of funds out to field programs and project recipients (up to 200 wire transfer/funds disbursement transactions per year).
  • Track wire allocations against field and grant budgets and record allocations for use in reporting.
  • Help maintain paperwork (including invoices) to support funds disbursement under grants.
  • Create and maintain all required contracts, terms and reference documents for project recipients.
  • Maintain updated ‘best practices’ for record-keeping of expenditure tracking and funds disbursement.
  • Conduct OFAC compliance for all wire transactions.

MONITOR/TRACK BUDGETS: 20%

  • Work with the Director of Administration, Finance and Compliance and relevant staff to allocate/balance grant budgets against annual Country budgets.
  • Monitor grant spending across multiple budgets and ensure there is no overlap in allocations and no ‘overfunding’ to programs and projects.

Qualifications

  • Excellent project management skills and administrative experience.
  • Contract management experience required, must be able to cite examples of government/intergovernmental grants/contracts you have managed and your specific management roles/responsibilities.
  • Proven track record of managing multi-year grants over $50,000; should include financial tracking as well as written reporting. Samples of past work may be requested.
  • Experience tracking budget transactions and maintaining audit trails required.
  • High proficiency managing spreadsheets and calculations in Excel. Proficiency testing may be requested.
  • High proficiency in Word and G Suite (Gmail and Google Docs).
  • Commitment to the Snow Leopard Trust mission and goals.
  • Experience with non-profit or mission-based organization preferred; passion for conservation preferred.
  • Must be willing to complete a criminal background check.

  • Ability and willingness to work at odd hours as needed to meet remotely with internationally-based staff distributed across time zones.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position is primarily a stationary position. While performing the duties of this job, the employee is regularly required to communicate and exchange information. This position may require some international and overnight travel, and will require participation in online meetings beyond regular office hours.

Please note staff are currently working remotely and will continue to do so through June 2021 and likely beyond, due to COVID-19. This role may require some in-person training during on-boarding, as well as ½ day per week basis at our Wallingford location to fulfill some of the above responsibilities. When staff return to normal operations, this job requires a minimum of 50% in-office presence, during regular business hours.

Hiring Range: The starting salary range for this position is $50K – $55K DOE, + benefits, including group health, dental, vision, retirement, paid leave, and more.
