Job Description:

What will you do?

You will provide administrative and clerical support to South Fork ODF staff in areas of personnel, payroll, purchasing, accounts payable, clerical duties, administrative functions and IT. This position also coordinates with District staff on a Statewide basis and Department of Corrections staff locally. You will provide specialized technical functions for a variety of programs, each with unique policies, rules, guidelines, procedures and programmatic purposes (State Forests, and Protection from Fire Divisions).  You will deliver quality customer service to ODF Districts, Department of Corrections staff, other state and federal agencies, contractors, constituents, department managers and employees, and business liaisons. You will coordinate and create procedures and processes in order to ensure accurate and coordinated flow of data and information required for services provided.

WHAT WE ARE LOOKING FOR:

  • Three years of clerical/secretarial experience which included: two years at a full performance level performing typing, word processing, or other generation of documents and lead work responsibility or coordination of office procedures. Note: Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience. No substitution will be made for the two years at the full performance level.
  • Demonstrated experience providing routine clerical activities in an administrative and business office function.
  • Experience providing professional customer service to internal and external customers in person, and over the phone/radio.
  • Demonstrated ability to work with multiple deadlines, continual change and at times heavy workloads.
  • Experience processing accounts payable, procurement and payroll related actions.
  • High level experience in Microsoft Word, Access, Excel, and Outlook.
  • Skills in using a personal computer to enter and retrieve information, including word processing, spreadsheets, metrics, electronic mail, and databases.
  • Ability to communicate effectively verbally and in writing.
  • Experience verbally communicating emergency situations.
  • Ability to maintain composure during stressful and chaotic situations.
  • Ability to work successfully in a team environment.
  • Punctuality and consistent attendance. Available on short notice to work weekends, holidays, or nights depending on emergency need.
  • Experience working in a prison setting, providing clerical instruction to an Adult in Custody (AIC) clerk.
  • Experience working with other agencies collaboratively on shared goals related to work contract accountability reconciliation, invoicing and payments.
  • Demonstrated ability to foster a culture of service, workforce diversity, equity and inclusion, team environment, and strong internal communication and alignment.
