This recruitment will be used to fill one (1) full-time, permanent, Administrative Assistant 5 position within the Administrative Services Division at Washington State Parks and Recreation Commission Headquarters in Tumwater, WA.

Duties

This position reports to the Assistant Director of Administrative Services and works on assigned program areas; and leads, facilitates, and represents the agency on projects and committees; works on and resolves issues on behalf of the Assistant Director, and serves as the Headquarters’ building manager.

Duties include but are not limited to:

  • As the principal assistant to the Division Assistant Director, makes decisions and follows-up on outstanding issues on behalf of manager on administrative matters.
  • Develops and implements administrative processes for the division and provides recommendations to resolve operational related issues and procedural changes.  
  • Coordinates personnel issues such as recruitment efforts, updating job descriptions, work schedules, outside employment and other personnel actions and activities.  
  • Prepares and edits reports, presentations, and correspondence.
  • Prepares Commission reports and presentations on behalf of the Division Assistant Director.
  • Receives, reviews and takes appropriate action on correspondence coming into the Assistant Director’s office.
  • Plans and coordinates events such as staff meetings and recognition events.
  • Schedules meetings, orders supplies, greets and corresponds with customers.
  • Manage and resolve building related issues for Headquarters’ building.
  • Plans, coordinates, and schedules facility maintenance with the building property manager and contractors.  
  • Inspect job sites, communicate with the requestor to determine the exact intent of work, and ensure projects meet building guidelines.
  • Design, plan, and executes modular furniture reconfigurations with agency staff and managers, building owners and Correctional Industries staff.
  • Serves as the Agency’s Combined Fund Drive Campaign Leader and attends annual trainings and events.
  • Serves as the designated Employee Transportation Coordinator (ETC) for the Commute Trip Reduction (CTR) program. Distributes program information to employees and surveys employees about their commuting habits.
  • Serves as lead on projects and participates in agency-wide committees.
  • Tracks the status of fiscal notes for the budget office.  Coordinates the compilation of data and prepares excel spreadsheets, drafts narratives and produces charts and graphs for use by the budget office and executive management. 

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in business administration, public administration or a closely related field.**
  • Three (3) years of experience as an administrative assistant.  
  • Advanced proficiency in Microsoft Office products.
  • A valid unrestricted (except for corrective lenses) driver’s license.  

**Additional years of experience as an administrative assistant may be substituted year for year for education.

DESIRED QUALIFICATIONS: 

  • College coursework in business, public administration or a closely related field.
  • Experience in report writing.
  • Experience creating PowerPoint presentations.
  • Experience in developing and posting web content.
  • Experience facilitating meetings and projects.
  • Experience in dealing with and resolving facilities issues.
  • Experience in space planning. 
  • Ability to work independently and follow through on assignments.
  • Knowledge of state government functions and processes, administrative procedures, and personnel policies.
