Salary- $16.83 – $21.79 Hourly

Our Administrative Assistant 2, 

  • Confidentially manages email and calendar communications for Program Managers and the Enforcement Captain.
  • Processes invoices and prepares Order Payment Forms at the supervisor’s discretion.
  • Schedules and tracks District Team Meetings.
  • Explains and interprets complex rules, policies, and operating procedures to internal and external customers.
  • Coordinates meeting logistics, scheduling and preparation as well as note taking as requested.
  • Monitors and provides status updates for public disclosure requests, records management, and litigation holds.
  • Provides support to Program Managers during recruitment processes.
  • Understands and implements complex agency rules, policies, and operating procedures.
  • Processes Permit applications and monitors to ensure routing and approval meet required timelines.
  • Assists with records maintenance and organization projects.
  • Creates, edits, and reviews documents and correspondence for accuracy, completeness, and compliance with agency and program requirements.
  • Tracks Purchase Card completion and assist staff with rules and regulations for new acquisition of cards and compliance.
  • Maintains office supply, equipment, uniforms, and Personal Protective Equipment, as needed.
  • Creates and maintains electronic and manual filing systems and databases
  • Assists with the preparation of materials for presentations and special projects.

WORKING CONDITIONS: 

  • Work Setting, including hazards: 
    1. Duties are performed in a busy office setting, these positions require extensive computer use – must be able to work with frequent interruptions/competing priorities.
    2. Opportunity to support staff with field work may be provided and occasional interaction with wildlife may occur.
    3. Due to the Governor’s “Stay Home, Stay Safe” order due to the pandemic, many of our positions are currently working remotely, or a combination of office and remote.  When the Governor lifts the “Stay Home, Stay Safe” order for state employees, combinations of office or telework may be considered.
  • Schedule:
    1. This position works a minimum of 20 hours per week – additional hours may be worked during heavy workload periods.
    2. Work is performed during core business hours – work schedule is flexible.
  • Travel Requirements: 
    1. Some travel may be required throughout the State to attend trainings, meetings, and conferences.
    2. Occasional overnight travel may be required.
    3. Must meet the agency requirements for driving personal and state vehicles.
  • Tools and Equipment: 
    1. Computer, computer accessories, required software programs such as Microsoft Office Suite, agency specific programs.
    2. Voice over Internet Protocol (VoIP) telephones, radios, projectors, video conferencing equipment, cell phones, internet access/Wi-Fi, business hub printer/fax/copier/scanner and postage meter.
  • Customer Interactions: 
    1. Customer service is an integral aspect for department success – this position works with internal and external customers daily.
  • Other: 
    1. The employee may be called on to respond to a variety of requests while working alone and managing multiple projects.
    2. On occasion, the incumbent may be required to lift or move tubs that contain educational kits, cases of paper, file boxes, etc. that weigh up to 30 lbs.
    3. Rarely climb a ladder up to 8 feet to perform minor office maintenance.

REQUIRED QUALIFICATIONS:

  • A High School Diploma or GED AND a minimum of five (5) years of responsible experience in office/clerical, secretarial, bookkeeping, or general administrative work.

          OR

  • An Associate degree in business administration, or a closely related field AND three (3) years of experience providing office assistance or administrative support.

          OR

  • A Bachelor’s degree AND one (1) year of related experience providing office assistance and administrative support.

Ability to: 

  • Communicate clearly, and concisely both verbally and in writing is essential.
  • Prioritize and manage multiple projects and competing deadlines.
  • Protect and maintain confidentiality.

Skills:

  • Skillfully type when composing letters, memos, and emails or when performing data entry work.
  • Skilled in navigating, using, and collaborating within online virtual platforms.

Knowledge and application of:  

  • Microsoft Office Suite – Microsoft Word, Excel, Power Point, Teams, and Outlook to manage and track documents, reports, spreadsheets, databases, etc.

Certifications/Licenses: 

  • A valid driver’s license.
