Duties
Some of what you will enjoy doing will include:
- Compose and edit correspondence and other reports or written material, reviewing for form, content, and consistency with agency statute, rules and policies.
- Conduct research and assemble data for use in reports or by supervisor to assist in decision making.
- Assist in the preparation of agency reports and publications.
- Coordinate travel arrangements.
- Organize meetings, including scheduling and notification to meeting participants, preparing agendas, taking and composing notes/minutes, reserving meeting and/or event space, arranging for the provision of meals and/or light refreshments.
- Assist in scheduling meetings for Executive Director and Deputy Director.
- Ensure the Administrative Services Manager is informed of action items, deadlines, priorities, and relevant agency issues.
- Maintain established agency electronic and manual filing systems.
- Assist in the preparation and processing of public records request, including gathering records, redacting information exempt from disclosure, and responding to requests.
- Assist with records management activities by maintaining logs and preparing records for storage and archives.
- Assist customers in understanding basic information regarding agency programs.
- Assist customers with their access to the agency’s Salesforce online community.
- Provide backup on various data review and data entry tasks across agency programs.
- Receive and screen public by telephone or in person; route telephone calls to appropriate employees.
- Provide backup for monitoring and managing agency voicemail and shared email, responding or routing as appropriate.
- Assist with the maintenance of the agency’s asset inventory.
- Provide IT support to coworkers, to include installing software and software updates, troubleshooting password issues, assisting with mobile phone configuration, and other minor IT support issues.
- Maintain and troubleshoot agency equipment.
- Update agency website.
- Provide administrative support to agency personnel.
Qualifications
REQUIRED:

High school graduation or equivalent.
-
Two years of paid clerical experience.
-
Experience with Microsoft Office applications such as Excel and Word at an intermediate/expert level.

Experience with Microsoft Word, Excel, PowerPoint and Outlook.
-
Committed to maintaining confidentiality of information and ethical behavior at all times.

Provide high-standard of professionalism and customer service to internal and external stakeholders.
PREFERRED:

Bachelor’s degree in business administration, public administration or closely allied field

Strong organizational skills.

Experience working in a high production, fast-paced environment meeting stringent deadlines and the ability to change priorities quickly.

Ability to deal well with competing priorities and challenging clients.

Knowledge of proper grammatical construction; sentence and paragraph development; basic mathematics.

Positive and professional interpersonal and communication skills.

Experience providing basic IT support.
