The Spill Prevention, Preparedness, and Response (SPPR) program within the Department of Ecology is looking to fill an Administrative Assistant 3 position. This position is located in our Headquarters Office in Lacey, WA.  We are looking for applicants with the ability to take initiative, balance multiple assignments and provide great customer service, as well as someone who is highly motivated and thrives in a team environment.
 
In this role, you will be performing high level administrative and secretarial support duties for the Spills Program, Preparedness, and Statewide Resources sections, management team, and staff. You will support the program goal of timely and accurate enforcement actions when spills occur.

What makes this role unique? 

In this role, you will support the Statewide Resources Section of the Spills Program. This section is the support section for the program and consists of staff in highly diverse expertise. You will support the enforcement team to ensure enforcement actions are processed accurately and in a timely manner.

What you will do: 

  • Review correspondence and documents for formatting, organization, clarity, spelling, grammar, punctuation, and consistency. Refer to agency and program policies and procedures to meet agency communication standards. Ensure that documents and email messages are created with digital accessibility in mind.
  • Schedule virtual and in person meetings and coordinate facility needs for meetings, trainings, conferences, and workshops. 
  • Assist with travel arrangements for program staff; review and process travel expense vouchers.
  • Maintain Statewide Resources Section Manager/Unit Supervisor’s calendars via Outlook. Assist with management of the Program Manager’s, Program Manager Assistant’s Calendars as needed or requested.
  • Assist with coordination of personnel recruitment tasks.
  • Assist Statewide Resources Section Managers with the annual evaluation process.
  • Maintain confidentiality at all times.

Required Qualifications:

A High School Diploma or GED AND Four (4) years of experience and/or education as described below:
 
Experience: in office/clerical, secretarial, bookkeeping, accounting, or general administrative office work.

Education: Formal college level education with a major study in business administration, public administration, or closely allied field.
