Salary: $73,739 – $82,946 depending on qualifications and experience. This is a full-time non-exempt position.

Nature & Purpose of the Position 

The position of Finance Coordinator is an administrative position of the Pierce Conservation District. This position has been established to provide accounting and fiscal assistance to the Sr. Director of Finance & Administration and to support district programs and related activities within the office. The employee occupying this position is responsible for financial and administrative tasks under the direction of the Sr. Director of Finance & Administration.

Primary Job Responsibilities

The Finance Coordinator reports to the Sr. Director of Finance & Administration, and is responsible for the following: 

  • Prepares payroll and enters into the QuickBooks system. 
  • Monitors and processes invoices; ensures all accounts payable are up to date. 
  • Prepares monthly department budgets. 
  • Presents monthly reports to the Board. 
  • Supports District staff on budget management, administration of grants, loans, and rate funds 
  • Gathers and collects all financial data and information and ensures it is accurately entered in the system; monitors and retrieves financial details whenever needed. 
  • Assists in journal entries by reviewing the source documents and making relevant adjustments; assists in the preparation of audit requirements. 
  • Completes in a timely manner all assigned accounting tasks that are in accordance with the outlined policies and procedures and utilize “Best Practices” methodologies as developed by the State Auditor’s office to ensure regulatory compliance.  
  • Prepares vouchers, invoices, checks, account statements, reports, and other records, and reviews them for accuracy. 
  • Runs job reports for programs as needed. 
  • Reconciles all company credit card statements; tracking charges and receipts monthly. Responsible for making accurate entries in the accounting system to maintain an accurate filing system by processing the checks, expense reports, and reconciliation of accounts. 
  • Prints checks, pays bills and liabilities. 
  • Processes 941 tax reports. 
  • Performs accounting duties to include payroll, billing time to grants, and tracks annual, comp, and sick leave per employee. 
  • Aids in completing new employee onboarding paperwork. 
  • Assists with 457(b) accounts. 
  • Provides support in budget preparation; performs miscellaneous filing, ad hoc reconciliations, etc. 
  • Assists with a standardized filing system for Conservation District records — both currents files and archives. 
  • Attends board meetings to present Treasurers report or policy changes, as required. 

Administrative & Human Resources Responsibilities

  • Helps administer the employee benefits program (Colonial, Orca, Costco); researches and reports on changes to existing relevant programs, as well as on additional programs that may benefit District employees. 
  • Helps administer healthcare information to District employees. Keeps current on all new healthcare issues and attends training throughout the year when needed. 
  • Assists with new employee orientation and onboarding, and separation of employment procedures. 
  • Assists with handling the district’s retirement package and working with each employee to update their package as needed.
  • Assists Sr. Director of Finance & Administration with maintaining District personnel files and various HR reports.
  • Prepares the monthly program budget reports and Board Treasurer’s Report; budget forecasting and analyses; provides and presents relevant financial data through reports, spreadsheets, and /or graphics as requested by the Board and the Executive Director. 
  • Assists the staff leads and program managers with the administrative aspects of their respective programs and projects.

Special Requirements

Physical Requirements and Working Conditions: Primarily an office environment with occasional travel to a variety of locations to conduct work and may be exposed to typical hazards encountered at such work sites. This is a full-time position consisting of 40 hours/week. The position will require some work on weekends or after regularly scheduled work hours. Licenses, Certificates & Other Requirements: Valid Washington State driver’s license at time of appointment with maintenance thereafter, or evidence of equivalent mobility.
