The Department of Natural Resources (DNR) has an exciting opportunity within our Aquatic Resources Division. Come help us manage state-owned aquatic lands (SOAL) so that people and orcas thrive, businesses and eelgrass meadows grow, and waterfront public access and salmon are preserved in perpetuity. We are looking for a Secretary Senior to join the Orca-Straits District team of fifteen professional staff who are based across northwest Washington. This position is based out of DNR’s Northwest Region Sedro Woolley Office in the beautiful Skagit Valley—the “Gateway to the North Cascades.” This position also travels 2-4 days per month to provide direct support to District staff located at the Center Work Station on the Olympic Peninsula near Port Townsend.

Duties
Responsibilities:
The Secretary Senior plays an important supporting role in managing state-owned aquatic lands and is entrusted with an array of responsibilities including the following:
- Provide administrative support to the Orca-Straits District Team.
- Maintain District land record files, manage electronic land records, prepare reports and participate in responses to public requests for information.
- Administer and/or collaborate with the Aquatic Land Technicians and other team members to process standard land record documents, such as insurance certificates, financial security documents, and document recording procedures.
- Provide Communications support for District Team including: processing incoming and outgoing mail, receiving and routing applications materials, responding to general inquiries from internal sources and the public, and using software to post mail and track certified mail.
- Coordinate ordering of supplies, inventory of staff equipment, and other related facility/equipment/vehicle needs.
- Prepare, format and/or review documents, including correspondence with tenants, standard form of agreements, and other documents to support the District.
Qualifications
Required Qualifications:
- High school diploma, or equivalent, or higher.
- Two years of increasingly responsible office, clerical, secretarial, or administrative experience.
- Proficiency with computers and working knowledge or ability to learn the use of Word, Excel, Access, PowerPoint, Adobe Acrobat, Outlook, Microsoft TEAMs, and internet search engines. Adapt easily to new and changing technologies.
- Demonstrated ability to speak and write clearly and succinctly.
- Demonstrated ability to work with and provide customer service to the general public and representatives from businesses, governmental organizations, Tribes, Lessees and Tenants.
- Demonstrated ability to organize and manage multiple ongoing tasks at one time.

Conditions of Employment:
- Ability to qualify as a Notary Public and Electronic Notary within 1 year of employment.
- A valid driver’s license and have two years of driving experience. This position requires driving as an essential function. Finalists and/or interview candidates will be asked to provide a driving record from all states in which they have held a license during the past three years.
- The incumbent in this position is required to travel. Overnight stays of 1-3 nights per month is required to provide administrative support to Straits Unit in Chimacum, Washington. Travel may also be required to locations within the District or Olympia.

Desired Qualifications:
- Demonstrated experience to use database software, such as: Microsoft Access, Salesforce (DNR calls this the Aquatic Contract Document Center), and/or other customized computer systems used to track financial, accounting, and/or other information.
- Demonstrated ability preparing, compiling, and coordinating administrative and financial reports.
- Demonstrated ability as an innovative and creative thinker who takes initiative to achieve solution-oriented results in an office setting.
- Familiarity with and understanding of legal contracts and/or real estate terminology.
- Knowledge of the laws and regulations governing the management of state lands or natural resources.
