Duties
Prepares and processes personnel actions for resignations, terminations, new hires, promotions, transfers, reallocations, extended leaves, etc. with associated data-entry keying requirements:

  • Receives approved HR Action forms, verifies information, and prepares for data entry.
  • Accurately and in accordance with timetable enters information into the (SAP) Human Resource Management System (HRMS) by prioritizing workload and using effective dating as efficiency tool.
  • Sends copies of screens with brief description of hiring action to Payroll and IT for audits and for final processing of actions.
  • Prepares variety of HRMS reports for monitoring of tasks, Periodic Increment Dates (PIDs), employee status, etc.

Processes new hires and separating employees: 

  • Prepares appointment letters (electronic mailing issued for most notifications, communications and file copies to supervisors, managers, and directors).
  • Researches employees’ state employment history for periodic increment applicability or audits for inaccuracies.
  • Enters into HRMS, creation, reallocation, abolishment, and relationship changes to positions.

WORKING CONDITIONS: 

  • Work Setting, including hazards: 
    1. Work is performed in a confidential office setting, work is fast-paced and high-volume.
  • Schedule:   
    1. Typical schedule is 8:00 a.m. – 5:00 p.m., Monday – Friday.
    2. Workload demands may require work outside the assigned work hours and adjustment of work schedules.
  • Travel Requirements:    
    1. Occasional travel may be required throughout the State to attend trainings, meetings, and conferences.
  • Tools and Equipment:   
    1. Computer hardware, software, and general office equipment.

Qualifications
REQUIRED QUALIFICATIONS:

  • Four (4) years of office experience.

          OR 

  • A Bachelor’s degree with focus on business, human resources, social or organizational behavioral sciences, or a related field. 

          OR

  • Equivalent education/experience.

PREFERRED QUALIFICATIONS:

  • Six (6) months of experience using the State’s Human Resource Management System (HRMS) payroll software or a similar software.
