The Department of Natural Resources (DNR) has an exciting opportunity within our Information Technology Division.

This position serves as the principal assistant with delegated authority performing delegated business and administrative matters to the Information Technology Division Manager/Chief Information Officer. Functions as a member of the Division Manager’s management team.

Duties
Responsibilities include physical responsibility for all agency IT assets and direct support of the Division Manager and planning, organizing, and implementing of Information Technology’s office administrative activities.  Also responsible for invoice processing, records management, report preparation, coordination of DM’s calendar and scheduling, meeting management, logistical coordination, presentation preparation, and inventory reconciliation.  This position functions as the principal liaison between the Commissioner’s/Executive Management staff.

Coordinates and accomplishes varied and complex projects, makes decisions and acting on behalf of supervisor in administrative matters.  Assists in the coordination of management activities and provides administrative support.  Effectively communicates the CIO’s goals and perspective regarding administrative and policy matters.

Maintains respect, confidentiality, and professionalism in all matters pertaining to the management of a complex organization.

Qualifications
Required Qualifications: 

  • 3 years of administrative experience, preferably at the Administrative Assistant 3 level or above.
  • Ability to maintain confidentiality when working with sensitive information.
  • Excellent organizational and communication skills, verbal and written.
  • Demonstrated ability to function effectively as a team member.
  • Ability to establish priorities, track projects, establish deadlines and hold staff accountable for assigned work.
  • Working knowledge of:
    • Office organization, methods, and management principals
    • Inventory control and records management
    • Establishing office procedures, standards, priorities and deadlines
    • Office space allocation and planning
    • Human resource policies and rules, i.e. civil service reform, collect bargaining units, HRMS, personal service contracts and budget fundamentals (WPEA/WFSE).
  • Experience in multi-tasking, managing short deadlines, and working independently in a fast-paced environment, with strong attention to details.
  • Experience in taking direction from multiple managers and prioritizing work for oneself and them.
  • Experience with Microsoft 365 suite, Adobe Creative Cloud, with the ability to prepare high level documents, spreadsheets and presentations.

Working Conditions: 

  • This position is in the office setting located at the Natural Resource Building in Olympia, WA. Demands of this job may require employee to function away from the normal workspace, both on and off site.
  • Travel for this position is minimal (less than 5%).

Desired Qualifications: 

  • Experience working in and Information technology environment.
  • Desire to work both as part of a highly motivated team and as a productive individual with minimal supervision.
  • Ability to maintain effective working relationships within the division, and between the division, executive management and other DNR organizations.
  • Ability to exercise expert professional judgment regarding the confidentially of sensitive matter encountered with the course of business operations.
  • Experience in managing accounts payables, specifically inter- and intra-agency payments and vendor invoices.
  • Experience using desktop applications producing organizational charts such as SABA.
  • Experience with inventory application such as AssetWorks used for tracking inventory control and records management.
