Puyallup River Watershed Council (PRWC) is a 501(c)(3) non-profit organization focused on watershed education. The PRWC has experienced recent growth in funding sources through various grants which is taxing the abilities and availability of the volunteer board to effectively address. The PRWC board is seeking accountant and book keeping services for the following scope of work.

 

  • PRWC utilizes QuickBooks for its financial needs, accountant services will be required to continue using QuickBooks to maintain PRWC’s finances.
  • Accountant will provide quarterly reports to the PRWC Board, to include but not limited to quarterly Profit and Loss, Trail Balance Sheet, account balances, accounts payable and receivable.
  • File Non-profit annual report with the Washington Secretary of State
  • File Annual Federal Income Tax returns
  • Conduct PRWC invoicing, payment and receipt of grant funds. Most funds are pass through grants which reimbursed to the grantees upon receipt of their invoices, which results in an invoice from PRWC to the granting agencies for reimbursement with a management fee added. Current workload is 1-2 monthly billings for large grants, but this may increase with the addition of more grant programs. In addition, the small grants program usually has 1-2 invoices for grantors, which is then dispersed to 5 or more grantees. Again, this program may increase in volume with increased funding.
  • Maintain QuickBooks files in proper order, assuring debit and credit categories are correctly reflected, and making journal entries and credit memos as needed.
  • Currently PRWC has no employees, and is not currently contemplating hiring employees.
  • Obtain approval of the PRWC board for any expenses prior to committing funds on behalf of PRWC (checks, renewal of QuickBooks, reporting fees, etc.).
  • Allow full on line access to QuickBooks at all times for PRWC Treasurer, and read only access for PRWC Executive Board.
  • Prepare other reports as requested by PRWC Executive Board.

Applicants should provide an overview of their company, to include location(s), website address, number of employees, certification of key individuals proposed for the work, expertise of individual(s) proposed (corporations, individuals, non-profits, e.g.), billing rates, and approach to working with PRWC board and treasurer as a volunteer nonprofit board. At least three references should be included with contact information.
