The Cornell Atkinson Center for Sustainability is the hub of collaborative sustainability research at Cornell University, forging vital connections among researchers, students, staff, and external partners. The center’s funding and programming accelerate groundbreaking research within and across all of Cornell’s colleges and schools. The center is the university’s home for bold ideas and powerful new models that ensure people and the planet not only survive, but thrive. Our strategic plan identifies critical research areas of Increasing Food Security; Reducing Climate Risks; Accelerating Energy Transitions and Advancing One Health and provides a roadmap for the center to achieve even greater, and more meaningful, impact through co-created research that advances sustainability practices, policies, opinions and products, moving the planet towards generationally sustainable resource use and management. Our programs strive to enable the participation and engagement of external organizations or communities in sustainability research to take knowledge to action by incorporating diverse backgrounds, perspectives, and expertise. With over 600 faculty fellows representing all colleges, the center plays a critical role, enabling the interdisciplinary collaborations needed to address the complex challenges of sustainability.

Cornell Atkinson is seeking candidates for an administrative assistant position to our operations team. We’re looking for applicants who thrive in a collaborative, team environment, are highly organized, have good communications skills and enjoy working in a dynamic, mission driven workplace. This position is a key team member of the center’s team – supporting our sustainability mission, research programs and activities. The administrative assistant will provide critical support for the center and its’ leadership team of faculty and senior staff. This role requires developing and maintaining a broad understanding of Center activities and priorities, the ability to embrace and thrive in a collaborative team culture, and an eagerness to engage in and support a variety of initiatives and activities. Primary responsibilities include:

  • Administrative Support – an important point of contact for the center, responding to complex telephone, email, mail and other inquiries and responsible for contacting people inside and outside the university, often on confidential matters. Make complex travel arrangements and process reimbursements through the Concur travel system. Provide primary support for the center’s partnership team and student and postdoc programs. Provide backup support for other members of the center leadership team. Monitor center transactions and expenses and make P-card purchases. Proactive management of office operations, supplies, and materials. HR hiring support and paperwork processing, and student timecard approvals.
  • Program & Activity Support – The position will support the lead organizer to plan and manage all aspects of center events and meetings both on and off campus. This position will support complex events, and lead on smaller events such as team meetings and topical lunches. Schedule appointments, meetings and reserve locations, independently compile materials for meetings, attend meetings, prepare notes and follow up as necessary. Secure service providers (catering, photographers, etc.).
  • Finance Support – Basic finance, data management, and project management support – Create and process MOUs and other financial transactions, create spreadsheets, develop databases & materials from variety of information and data sources. Ability to learn or be familiar with monday.com. Communicate with operations team colleagues and department finance staff across campus with clear and accurate requests to affect transfer of funds, reporting on expenses, and other financial requirements of the center.
  • Office Management – Responsible for a range of office operations including: purchase supplies as needed for events, office, staff, meetings; serve as liaison for communications with IT; serve as telecom coordinator; coordinate with facilities and building care as needed; oversee maintenance of office equipment; printers and copy machine; schedule, setup, and host video conferences.

The successful candidate will be a professional experienced in handling a wide range of administrative and operational duties, with sound judgement and the capability to resolve complex situations.

Cornell Atkinson is committed to offering a flexible, hybrid work location arrangement, depending on a position’s role and responsibilities. This Administrative Assistant position will be primarily an on-campus, in person position with a minimum of three days per week on campus.

Required Qualifications

Associates Degree and 2 to 4 years relevant experience.

Fluent use of Excel for moderately complex spreadsheets, databases, registration lists, and budgets. Understanding or ability to learn formulas and functions in Excel.

Demonstrated proficiency with MS Outlook, Microsoft Office products, Adobe Reader, and PowerPoint.

Demonstrated ability to work and communicate effectively and professionally with a broad and diverse range of constituents.

Preferred Qualifications:

Expert knowledge of Outlook, Excel, Word and standard office software applications, word processing, spreadsheets, databases, networked informational systems and video communications systems. Experience in organizing complex events both on and off campus.

Knowledge of Concur, KFS, OBIEE, eShop, I Want Docs, Workday, and other Cornell systems helpful.

Proficiency with Zoom, Qualtrics, and Google Drive, Forms and Docs helpful.

Ability to effectively collaborate with internal teams, and external groups in a high-performance environment. Ability to manage multiple priorities and complex tasks, quickly adapt and re-prioritize. Ability to represent the Atkinson Center in a highly professional welcoming manner, handling situations with tact and diplomacy.
