JOB SUMMARY

As RVCC has continued to grow in the last year, so has our need for new and better systems to engage with coalition participants and partners. We are hiring an Operations and Engagement Manager to help us develop and maintain operational and partner engagement systems and protocols, as well as contribute to our programmatic work by helping to organize working groups and develop learning products.

We are seeking a self-motivated and enthusiastic candidate capable of working in partnership with the existing team to develop more robust systems for coalition engagement and operations. The Operations and Engagement Manager will work with a current staff of four on the implementation and delivery of programs, strategic planning, coalition-building, story telling, and fundraising.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Operational Systems

  • Help define and implement necessary Coalition business systems.
  • Coordinate grant and agreement tracking and reporting and annual accomplishment tracking and reporting across all RVCC projects and engagement strategies.
  • Assist the director with Leadership Team coordination, including through leading the preparation of board packets, scheduling of events, and associated work.
  • Participate in leadership team meetings.
  • Collect and maintain all Leadership Team required documents such as annual conflict of interest statements, board commitments, etc.
  • Articulate and oversee annual administrative goals, calendar, and record keeping to keep the organization compliant with internal policies and external requirements of grantors and government
  • Coordinate staff to develop annual accomplishment reporting.
  • Develop and help manage additional business systems as the need arises, including potentially human resources systems and platforms for team coordination.

Coalition Engagement

  • Co-develop and implement a member engagement strategy and onboarding process for relationship building and communication with participants in the coalition.
  • Develop and manage membership tracking and engagement systems to keep coalition members in touch with the work of the coalition, including through branded email outreach, virtual meetings, and online surveys.
  • Compile and prepare meeting materials, notes, coalition participant information, and other relevant information for RVCC engagement.
  • Act as an additional point of contact for external partners and coalition members to help connect them to RVCC’s work and resources.
  • Explore and help recruit new members or potential partners.

Programmatic Work

  • Take the lead on planning logistics and event coordination for the RVCC Annual Meeting of 75-125 participants.
  • Work in coordination with program managers, communications manager, and the director to plan, organize and implement events, workshops, and working groups.
  • Work as a full member of the team in helping to strategize and provide review for various work products, including reports and issue papers.
  • Contribute to fundraising strategy development and fundraising proposals.

EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES

The following qualifications are required to successfully perform the Essential Job Duties and Responsibilities.

  • Experience in operations, administration or management.
  • Experience working with and developing operational systems, including board support, project and financial tracking, etc.
  • Ability to consistently demonstrate teamwork and positive day-to-day work relationships and interactions with staff, board members, members of the public, and community stakeholders.
  • Ability to effectively articulate and exchange information using verbal and written communication with internal and external stakeholders, while building positive relationships
  • Demonstrated commitment to advancing equitable outcomes and inclusive, diverse partnerships.
  • Flexible, able to adapt, willing to learn alongside our growing coalition.
  • Familiarity with Google Workspace (Docs, Sheets, Slides), Microsoft Office applications (Excel, Word, PowerPoint), and Zoom.
  • Organizational skills and the flexibility to jump from priority to priority, which are essential to a role that juggles a variety of functions and projects.
  • Capacity to work in a team environment with minimal supervision, and with a primarily remote staff.
  • Passionate about working with rural communities and the collaborative conservation community.

The following qualifications are also preferred:

  • Experience with fundraising, grant-writing, and grant reporting.
  • Demonstrated ability to understand, communicate, interact, and build trust with people across different experiences and backgrounds.
  • Experience in leading meeting facilitation.

WORKING CONDITIONS

Environment and Physical Requirements: RVCC is now completely remote, however staff are located in Western Oregon and gather in-person periodically. The expectation for this position is remote work, with  the ability to attend in-person work sessions in the greater Portland area no more frequently than once a month.

The position involves some travel, including occasional overnight travel to field locations throughout the rural West. Travel opportunities may occur more frequently, but required travel is only likely to occur 3-4 times a year. Hours: Typical office hours are full time from 8:00 a.m. to 5:00 p.m. Monday through Friday. This position works an average of 40 hours each week, but may sometimes be required to work extended hours, including occasional evenings and weekends. Flex time and telecommuting are permitted.
