JOB SUMMARY

This classification is primarily responsible for providing clerical and administrative support to staff within the department and the public to insure the needs of the public are met in a positive, timely and efficient manner. Employees may be assigned general responsibilities or be assigned to a specific function within the department. Progression within this classification is based on experience and time in service.

EXAMPLES OF DUTIES (Any one position may not include all of the duties listed nor do the listed examples include all tasks, which may be found in positions of this class.)

Communicate and assist the public by correspondence, telephone of in person by responding to questions, directing inquiries, providing information or processing documents.

  • Maintain manual and electronic data files and systems for tracking processes and maintaining records.
  • Schedule meetings and/or hearings for self or others to meet with public to review documentation, determine eligibility, issue permits or vouchers.
  • Receive and receipt fees.
  • Process applications based on review and confirmation of eligibility and documentation.
  •  Maintain and disburse forms and public information.
  •  Research records and data for information and historical documentation.
  •  Prepare reports, minutes and correspondence from data provided or researched.
  •  Receipt, deposit and account for cash received from a variety of funds.
  •  Maintain records for substantiation of disbursement of funds, grants, allocations.
  •  Maintain schedule of conference and meeting rooms.
  •  Prepare agendas, notify participants and coordinate internal and external meetings.
  •  Assist other clerical and administrative staff with responsibilities.
  •  Update spreadsheets and databases with COVID specific reporting
  •  Answering public and community agency calls with basic information for COVID resources
  •  Mail pickup and distribution as needed

EDUCATION AND EXPERIENCE Any equivalent combination of education and experience, which provides the applicant with the knowledge, skills, and abilities, required to perform the job. A typical way to obtain the knowledge and abilities would be:

High school diploma or equivalency and minimum two years clerical experience working with the public in a positive environment providing information and/or assistance, preferably in a public agency providing like services.

Applicant Qualifications – All candidates must meet minimum requirements. Often, the most competitive applicants will possess qualifications far exceeding the required minimum. Health Insurance – Regular full-time employees and their qualifying dependents are eligible for medical, dental, vision, and life insurance coverage. Some regular part-time employees may receive the same coverage. Employees may partially contribute premiums depending upon the type of coverage selected.

Paid Leave – Sick leave, holidays, and vacation are provided in accordance with the County policy or union contracts. Vacation accrual rates increase at regular intervals based on length of service with the County.

Retirement Plan – All regular Mason County employees are enrolled in the Washington State Public Employee’s Retirement System (PERS, PSERS or LEOFF). The County and employees contribute jointly to the plans.
