Reporting directly to the supervisor of the Adult Public Education Program, this 60% FTE (24 hours per week) position provides programmatic and clerical support for adult education programs and communications at the University of Washington Botanic Gardens (UWBG). UWBG’s adult education programs encompass walking tours, continuing education classes, workshops and conferences. Primary communications channels include website, social media and e-newsletters.
The UWBG is comprised of two main sites – the Center for Urban Horticulture (CUH) and the Washington Park Arboretum (WPA). Education programs are offered at both sites and online. This position will serve as the primary contact for registrations and will assist with various aspects of preparing for, delivering and evaluating public education programs. The ideal candidate will be flexible and personable with excellent time management skills and a meticulous eye for detail.
Job duties:
- Handle all aspects of registrations for UWBG adult education programs, maintaining detailed and well-organized records. Process and track registrations and log and document monies related to registrations and payments for course instructors and materials. Prepare forms necessary for payments and refunds.
- Serve as first point of contact for the wide range of audiences participating in our various education programs, maintaining high levels of communication both internally and with the public via phone, email and in-person contact.
- Assist with preparation for and implementation and evaluation of education classes and events.
- Support conference planning committees and coordinate with speakers and sponsors.
- Attend virtual and in-person events as needed to support registration, setup, hosting, and cleanup.
- Apply for professional continuing education credits from organizations that offer them and manage attendance records.
- Assist with event planning, coordination and logistics.
- Track and document monthly budgets and financial transactions.
- Produce flyers, postcards, e-newsletters and web content, including social media, to publicize classes and events offered by UW Botanic Gardens.
- Create and schedule social media posts for UW Botanic Gardens main channels.
- Assist with WordPress website updates and supporting other online calendaring and database/record-keeping systems.
- Perform other related duties as assigned.

- REQUIREMENTS
- High school graduation or equivalent AND Two years of full-time clerical experience OR Equivalent education/experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED
- Bachelor’s degree in a related field. Interest in horticulture, public gardens, informal education or a related field.
- Experience in an office environment that involved extensive contact with the public
- Excellent organizational skills, as well as excellent oral/written communication skills.
- Experience providing administrative support, overseeing and executing office operations.
- Proficiency using a variety of software programs, including Word, Excel, Outlook and social media platforms.
- The ability to work well on a team as well as a willingness to work a flexible schedule that may include occasional evening and weekend work.
- Proficiency with a variety of software programs such as Adobe InDesign, PremierPro, Dreamweaver, basic PHP and html knowledge.
- Prior experience working with databases in a registration capacity.
CONDITIONS OF EMPLOYMENT
The ability to work occasional evenings and weekends for events is required.
