Duties

  • Gathers information, prepares routine data summaries and narrative reports, and assists staff with the preparation and editing of complex reports and/or projects. 
  • Coordinates and schedules meetings, conferences, and arranges travel. 
  • Develops and prepares agendas, itineraries, correspondence, and other documents. 
  • Arranges meeting room space, refreshments, lodging, and travel for various advisory councils.
  • Prepares and submits meeting and travel documentation for reimbursement. 
  • Answers/receives telephone calls and refers visitors.
  • Authors original email correspondence addressing customer inquiries related to wildlife program information, ranging from land access programs, wildlife interactions, and hunting regulations.

WORKING CONDITIONS:

Work Setting, including hazards:    

  • Work is performed in a busy office setting. There are multiple distractions and interruptions throughout the day. 
  • Most tasks involve sitting/standing at a desk and working on a computer.
  • The duty station for this position is in Olympia, Washington. Due to the COVID-19 pandemic, many of our positions perform remote work or telework (a combination of office and remote). When the workforce is approved to return to an office setting, remote or telework may be considered.

Schedule:   

  • Typical workdays are Monday-Friday.
  • Work hours are 8:00 am – 5:00 pm.

Travel Requirements: 

  • Travel is minimal. May require an occasional in-state overnight stay.

Tools and Equipment: 

  • Computers, multi-line phones, and office equipment.

Customer Interactions:

  • Interaction occurs with internal and external customers. 
  • Must maintain professional demeanor and appearance.

Qualifications

REQUIRED QUALIFICATIONS:

  • High school graduation or equivalent. 

         AND

  • Two (2) years of clerical or office work experience. 

AND

  • Ability to absorb new information, understand, and interpret verbal and written direction; asks questions or clarifies when appropriate.
  • Ability to adapt to change and willingly accept new assignments or projects.
  • Ability to multi-task under stress and prioritize competing assignments in tight timeframes.
  • Advanced computer skills with Microsoft Office Suite, e.g., Outlook and Word.
  • Demonstrated commitment to customer service.
  • Excellent verbal and written communication skills (including the use of proper grammar, spelling, punctuation).

 Certifications/Licenses:

  • A valid Washington or other state driver’s license.

PREFERRED QUALIFICATIONS: 

  • Knowledge of hunting regulations.
  • Understanding of Washington State policies and procedures.
