Girls on the Run of Puget Sound is a 501(c)(3) organization that inspires girl identifying youth to be joyful, healthy, and confident using a fun and experience-based curriculum that creatively integrates running. Girls on the Run is a nation-wide non-profit with local independent councils. Our council serves King and N.E Pierce Counties. We believe that Girls on the Run is for ALL girl identifying youth; we offer accessible registration fees, are inclusive of girls with physical, intellectual or sensory disabilities, and are always working towards being culturally responsive to all of the communities we serve. We host Fall, Spring, and Summer program seasons that are led entirely by volunteers that are recruited, trained, and managed by our staff. We work with public schools, private schools, cities, and other community organizations.

Role Responsibilities:

Position Summary: The Girls on the Run of Puget Sound (GOTRPS) Volunteer Coordinator must possess a passion for improving the lives and opportunities for girl identifying youth in 3rd-8th grades, as well as commitment to the mission and vision of Girls on the Run. The Volunteer Coordinator will be GOTRPS’s main liaison for all volunteer groups: Coaches, Practice Partners, Event Volunteers, and One-Time Volunteers.  The Volunteer Coordinator is extremely detail oriented, can manage multiple projects at once with tight deadlines, has strong customer service skills, and enjoys working with people. This role is “customer” facing and requires developed interpersonal skills such as empathy, conflict resolution, active listening, and ability to navigate sensitive situations. We are looking for a friendly and energetic self-starter who can take initiative to drive projects to completion, and is eager to recruit, retain, and cultivate relationships with volunteers who will share their excitement for Girls on the Run.

Position Responsibilities:

  • Manage and recruit all GOTRPS volunteer groups to meet needs of growing program.
  • Develop a new mid-level commitment volunteer role to assist teams and coaches.
  • Recruit volunteers for each program season using proven recruitment strategies such as media marketing, attending outreach events, individual meetings with volunteers, and email communication with past volunteers.
    • Volunteer Recruitment Focus: BIPOC populations that represent the many different cultures and backgrounds of girls that our organization serves.
  • Maintain high quality customer service when working with volunteers through prompt and professional email and phone correspondence.
  • Create and manage all volunteer applications within Girls on the Run’s internal database system, RacePlanner.
  • Develop onboarding process for all volunteer groups including but not limited to:
    • Background check processing
    • CPR certification processing
    • Volunteer Trainings
    • Materials Pick Up Dates
  • Create and facilitate volunteer trainings for each volunteer group.
    • Please note: Trainings are current being delivered virtually but we anticipate moving to in-person training events within the next year.
  • Manage all materials (ordering, organizing, distributing, curriculum return, taking inventory, etc.) related to volunteers.
  • Develop communication plan for each volunteer group which may include newsletters, phone calls, site visits, “office hours” and more.
  • Work with potential one-time volunteer groups interested in volunteering their time to our organization; create meaningful projects, attend volunteer group work events, cultivate relationships to ensure repeat volunteer participation.
  • Cultivate positive relationships and improve retention rates with all volunteer groups through appreciation efforts, social media recognition, and serving as a resource for all volunteers.
  • Distribute surveys to all volunteer groups post-season, analyze results, make improvements for the next season based on feedback received
  • Assist staff with end-of-season 5K planning, communications, distribution of materials, and execution of event(s)
  • Attend outreach events where one-time volunteers are needed such as local charity races, work parties at corporate workplaces, and more.
  • Brainstorm and seek out new partnerships in the community that may create a pipeline of volunteers. Attend meetings with local program partners or potential new partners to broaden GOTRPS’ presence in the community
  • Participate in strategic planning concerning program success and growth
  • Assist with social media
  • Assist with Camp GOTR Planning and Coach Recruitment
  • Assist with annual fundraiser, Sneaker Soiree
  • Assist with supervising and managing interns throughout the year
Candidate Qualifications:

Required Qualifications:

  • Demonstrated ability to work independently on multiple projects, take ownership, meet deadlines, and prioritize high need projects.
  • Easily navigates technology. Proficient in Microsoft Office 365, Excel, and PowerPoint and other desktop publishing tools.
  • Strong written, verbal, and interpersonal communication skills with ability to make effective oral presentations to large and small groups.
  • Flexible, adaptable, and strong team collaborator.
  • Ability to navigate potentially challenging conversations or conflicts with volunteers.
  • Ability to lift up to 40 lbs.
  • Reliable transportation required. Candidate is expected to commute within King and N.E Pierce County for site visits, material distribution events, coach training events, and other special events.
  • Excitement for Girls on the Run’s mission and eagerness to promote and communicate the philosophy, mission and values of Girls on the Run.

Preferred Qualifications:

  • Experience managing and recruiting volunteers.
  • Experience working with and supporting diverse populations.
  • Knowledge of non-profit operations.
  • Knowledge of K-12 systems.
  • Conversational in Spanish.

Schedule Commitment:

  • Full-time work schedule; 40 hours per week
  • Flexible schedule is preferred as occasional weeknight and weekend commitments are required.
  • Hybrid (remote/in-person) work schedule. The candidate will be expected to work onsite at our North Seattle office at least 2 days/week.
    • Certain weeks of the year will require more on-site hours (for example, pre and post GOTR seasons).
