The Opportunity

Four Peaks has an opening for an operations specialist to coordinate a large environmental assessment project and to maintain (and improve!) the backbone of our operational processes. This position will require a variety of operational and administrative skills to promote efficient company operations and to support technical staff with projects and business development activities. The ideal candidate will take initiative on assigned projects and work effectively with minimal supervision. Strong organization and time management skills are imperative to the success of this position. The operations specialist will be expected to support day-to-day activities in great detail and understand the strategic vision of the company. This position may require access to sensitive client and employee information, and confidentiality is required.

Summary of Duties

  • Project Management (50%)
    • Provide project coordination support for large environmental assessment project, to include
      • Maintaining multiple internal and external schedules, tasks lists, and budgets
      • Tracking the overall project management plan and risk management register
      • Managing communications between external and internal stakeholders
      • Assisting with logistical support
    • Assist other company project managers with planning, organizing, and coordinating operational and project activities
    • Provide company-wide contract and project tracking support, including monthly invoicing and tracking project budgets
    • Support client and project set up and closeout
    • Support field logistics and safety planning
  • Office Management (50%)
    • Maintain a regular presence in the Wenatchee office and occasionally travel to other offices to support operational needs company-wide (travel requirements and in-person meetings will follow CDC guidelines)
    • Provide front-line support to answer questions and inquiries regarding operations
    • Manage Wenatchee office shipping and receiving activities
    • Provide recommendations for improving operational efficiency and cost-effectiveness
    • Track status of service contracts and utility accounts at all office locations
    • Coordinate procurement, maintenance, and tracking of company-owned assets, including marketing collateral and IT infrastructure
    • Organize and support company events
    • Provide administrative support to Human Resources and Accounting departments
    • Collect and deposit checks from the company’s PO Box

Qualifications

Required

  • 4+ years of experience as an operations specialist, logistics coordinator, or similar role
  • Proficient in MS Office suite and ability to quickly learn programs used to manage business activities
  • Experience in ownership and implementation of projects
  • Ability to analyze and improve operational processes
  • Strong people management and organizational skills
  • Excellent communication skills, both written and verbal
  • Strong problem-solving and time management skills
  • Ability to work autonomously with minimal supervision
  • Detail-oriented

Desired

  • Experience coordinating complex projects with multiple internal and external stakeholders
  • Familiarity with human resources (BambooHR) and project management (Trello, Float) tools
  • Advanced knowledge of team communication software (Slack, Teams, SharePoint)
  • Experience with inventory management across multiple locations
  • Experience with field health and safety requirements
