This announcement is for one full-time, non-permanent Office Assistant 3 position for the Boating Program at the Washington State Parks and Recreation Commission’s Administrative Building located on Tilley Road in Olympia, WA.

The expected duration of this non-permanent appointment is 5 months, (May – September)

Duties

Under the supervision of the Administrative Assistant 3 (AA3) this position supports the day-to-day operations of the recreational boating program during peak season. This position is required to independently prioritize workload to ensure deadlines are met while completing tasks on time.

Duties include but are not limited to:

  • Review documents, records, or applications for completeness, accuracy, and compliance with rules; determines and explains action necessary to achieve compliance or approval.
  • Composes office correspondence such as requests for documentation and responses to requests for information; devises, evaluates, and revises forms for internal use.
  • Reviews and verifies fiscal reports for accuracy; investigates and corrects errors to ensure compliance with established procedures and policies.
  • Uses basic arithmetic to perform computations.
  • Establishes and maintains complex electronic or manual file systems or data base files.
  • Prepares or assists in the preparation, compilation, and coordination of reports and records such as financial, payroll, labor distribution, equipment usage, purchasing, inventory, personnel scheduling, registration, and testing.
  • Prepares tables, charts, and graphs as required.
  • Performs complex Word processing tasks such as merging and sorting, integrating text with graphics, spreadsheets, data base files, uploading/downloading, creating footnotes and outlines.
  • Uses spreadsheet and data bases software to develop and maintain records.
  • Orders, receives, and maintains inventory, including, but not limited to, life vests, vessel registration checklists, office supplies, and outreach items.
  • Process material requests from customers including mailing boxes that weigh up to 20 lbs.
Qualifications

REQUIRED QUALIFICATIONS:

  • High School graduation or equivalent.
  • Two (2) years of experience providing assistance to customers regarding inquiries, complaints, or problems.
  • One (1) year of experience with data entry and database applications.
  • Valid (unrestricted except for corrective lenses) driver’s license.

REQUIRED SKILLS AND ABILITIES:

  • The ability to lift items weighing 20 pounds.

DESIRED QUALIFICATIONS:

  • Associates Degree or Equivalent.
