With that in mind, 

Picture yourself being responsible for all administrative matters and facilities management for the Region 5 Office.

This is an opportunity to provide effective leadership while effectively managing the day-to-day operations.

 

With your experience, you will develop and maintain regional partnerships with the public, tribal representatives, volunteers, and service groups who share responsibility for fish and wildlife within Region 5.

Our Administrative Assistant 5, 

  • Assists the Regional Director, provides administrative support and fosters a cohesive team environment.
  • Works with confidential documents and time-sensitive calendars.
  • Schedules, maintains calendars, coordinates/arranges travel, meetings, and conferences.
  • Develops biennial budget spending plans, monitors expenditures against allotments and responds to inquiries on the Region 5 budget.
  • Assists the Regional Director in the implementation and logistics of key agency initiatives and provides support for agency legislative initiatives.
  • Assists the Regional Director in identifying local needs/issues to be included in the development of new initiatives.
  • Administers and manages the operational and financial functions of the Region 5 office – including developing, tracking, and managing the biennial budgets.
  • Leads, directs, and supervises the Customer Service program while providing regional office function and support to all Region 5 staff.
  • Is the liaison with the Director’s Office and investigates and appropriately responds to complaints.
  • Provides information to customers, other agencies, tribes, and the public regarding agency and regional policies, management programs and key initiatives.
  • Ensures the optimum use of resources while effectively directing and managing the Region 5 office.

WORKING CONDITIONS: 

  • Work Setting, including hazards:
    1. Work is generally performed in an office setting at the Region 5 Office in Ridgefield, Washington.
    2. Teleworking options may currently be available.
  • Schedule:
    1. Typically, Monday – Friday – 8:00 a.m. – 5:00 p.m.
    2. Must be available to be on call 24/7 in case of emergencies.
    3. This position may be required to work occasional weekends and evenings to meet workload demands.
  • Travel Requirements:
    1. Occasional travel for meetings, trainings, and visits to District Offices and/or other field locations.
  • Tools and Equipment:
    1. Computer hardware/software, multi-line phones, video conference equipment, and general office equipment.
  • Customer Interactions:
    1. Customer service is an integral part to agency success.
    2. Routinely works the front counter, responds to phone calls from the public, and interacts with customers.
    3. Supervises, assists, and mentors customer service personnel to ensure consistent, high quality service.
Qualifications

REQUIRED QUALIFICATIONS: 

  • One (1) year of experience as an Administrative Assistant 4.

OR 

  • Two (2) years of experience as an Administrative Assistant 3.

OR 

  • Three (3) years of progressively responsible experience as an office or business manager in the public or private sector.

AND

  • Voluntary, personal, academic, or quantifiable leadership experience. 
  • Demonstrated experience in providing services, conflict resolutions and negotiations.
  • Familiar with fiscal documents – able to read and understand spreadsheets.

Ability to: 

  • Make sound business decisions in a demanding environment.
  • Take on new assignments, difficult projects and accept challenges.
  • Organize/prioritize work and multi-task.
  • Set meaningful expectations and establish priorities.
  • Collaborate with others and resolve conflicts.
  • Take initiative to maintain an accurate understanding of multiple programs.
  • Utilize independent judgment to explain programs and adaptations to specific situations.

Certifications/Licenses: 

  • A Valid Driver’s License and an acceptable driving record.

PREFERRED QUALIFICATIONS:

  • An Associate’s Degree, or a higher-level degree.
  • Three (3) years of additional administrative experience.
  • Three (3) years of supervisory experience.
  • Professional experience working with Washington State policies and procedures, such as Office of Financial Management (OFM) regulations, governmental budget concepts, travel regulations, the legislative process, and/or the Administrative Procedures Act.
  • Knowledge of Departmental policies, RCWs, and WACs.
