The Aquatic Resources Division of the Department of Natural Resources is on the front lines of the efforts to protect and restore aquatic habitat across the state. We are looking for someone able to manage a large, complex divison, with staff located across the state. This position will keep us organized, support aquatics leadership, and support the many programs that are making a difference in the management of state-owned aquatic lands of Washington. This position serves as the principal assistant with delegated authority for performing administrative support duties for the Aquatic Resources Division Manager and to function as a valuable member of the Division’s management team.

Responsibilities include:
  • Direct support of the Division Manager and seven other members of the management team, including: planning, organizing, and implementing the office administrative activities for the division.
  • Records management, report preparation, scheduling and coordinating calendars, meeting management, logistical coordination, and inventory reconciliation.
  • Independent judgment to accomplish assignments and solve problems.
  • Supervises other office support staff –  an Office Assistant 3 and a Secretary Senior.

Required Qualifications:
  • 3 years of experience supporting a manager and supervising the daily functions of an office, including supervision.
  • Experience supporting hiring managers and maintaining confidentiality when working with sensitive personnel information.
  • Excellent organizational and communication skills (verbal and written).
  • Demonstrated ability to function effectively as a team member.
  • Experience establishing priorities, tracking projects, establishing deadlines and holding staff accountable for assigned work.
Working Knowledge of:
  • Office organization, methods, and management principles;
  • Inventory control and records management;
  • Establishing office procedures, standards, priorities and deadlines;
  • Office space allocation and planning;
  • Human resource policies and rules, i.e. civil service reform, collective bargaining units (WPEA/WFSE).
Desirable Qualifications:
  • Experience advising on specific courses of action, demonstrating awareness of potential impacts and liability, and experience developing consensus among parties.
  • Demonstrated experience using professional judgment regarding the confidentiality of sensitive matters encountered within the course of business operations.
  • Understands organizational structure and has experience functioning within a complex organization.
  • Experience fostering working relationships within the division and among the division, executive management, other DNR organizations, other governmental entities and the public.
