Job Description:

The Sustainability in Prisons Project is a partnership founded by the Evergreen State College (Evergreen) and the Washington Department of Corrections (WA Corrections). Program coordinators work collaboratively with program partners to advance SPP’s mission and vision.

We empower sustainable change by bringing nature, science, and environmental education into prisons.

Vision:

In response to the dual crises of ecological degradation and mass incarceration, we aim to reduce recidivism while improving human well-being and ecosystem health. SPP brings together incarcerated individuals, scientists, corrections staff, students, and program partners to promote education, conserve biodiversity, practice sustainability, and help build healthy communities. Together, we reduce the environmental, economic, and human costs of prisons.

RESPONSIBILITIES

This position supports SPP organization operation. Successful candidates will demonstrate high value for equity and inclusion and willingness to work and learn across differences. In addition, we are looking for candidates with strong writing, systems thinking, communication, and problem solving skills and ability to do both self-directed and team work. Anticipated position tasks are described below. Requested duties may vary depending on program status and organization goals. As a member of the SPP partnership, the person in this position will have influence on various organization tasks and priorities.

ORGANIZATION DEVELOPMENT:

  • Support policy, directive, and plan development for use by SPP, Evergreen, and Department of Corrections
  • Assist with strategic planning efforts as needed
  • Based on identified needs, develop systems to support tracking, reporting, and effective and efficient organization operation
  • Support select SPP training and team building activities; assistance may include requests for coordination, facilitation and/or development

BUDGET AND FUNDING:

  • Build and update grant and contract funding files, and update organization charge codes in tracking sheets for staff use
  • Track and process honoraria payments for guest experts
  • Assist SPP team (coordinators and management staff) with reimbursement (A-20 & A-19s) processing, tracking, and problem solving
  • Draft and update travel authority paperwork for each member of the SPP team
  • With support from managers, make and track supply and equipment purchases
  • Support development, payment, & tracking personal service and other small contracts
  • As resources allow, assist with researching and pursuing grants and donations; update and monitor grant and foundation spreadsheet for potential funding sources

OPERATIONS:

  • Develop, draft, edit, and proof documents intended for internal use and external outreach including reports, plans, education materials, and articles
  • Generate, review, and post web and social media content
  • Provide research, drafts, editing and formatting support for educational materials for SPP programs
  • Support development and updates of program and organization protocols
  • Assist with clerical duties including printing, copying, filing, mailing, etc.
  • Add and update SPP contacts in central location
  • Respond to letters and other SPP inquiries
  • Coordinate SPP-Evergreen staff meeting including scheduling, agenda item requests, and note taking rotation among team
  • Assist with scheduling other meetings as capacity is available and as requested by SPP leadership
  • As resources allow, coordinate events to be held in a variety of venues. Work with SPP-Evergreen team to facilitate and track events including: planning, budgeting, invitations, equipment needs, security requests, set up, and post-event thanks
  • Support reentry resource development

REPORTING AND ACCOUNTABILITY:

  • Update supervisor in weekly meetings and SPP-Evergreen team every two weeks in staff meetings
  • Update and communicate task lists; keep in a format agreeable to coordinator and supervisors
  • Support development and review of SPP annual report
  • Manage SPP-Evergreen team calendar to include team project due dates and actions items
  • Maintain media index and archive
  • Maintain a safe work environment: complete required WA Corrections and SPP-Evergreen trainings, follow policies, and report any issues or challenges immediately

OPPORTUNTIES:

  • Work across differences to increase access to science and sustainability education; practice respect and compassion in an equitable way extending to all partners and stakeholders
  • Contribute to protocol, directive, systems and policy development to increase access to science and sustainability education and training for current and previously incarcerated people

QUALIFICATIONS:

  • Currently enrolled student at Evergreen
  • Available to work 15-20 hours a week primarily during office hours Monday-Friday (some hours may be flexible)
  • Excellent social and communication skills are essential.
  • Ability to work across differences with respect and compassion for all people; ability to effectively communicate and collaborate with Corrections staff and supervisors, incarcerated people, partner organizations and SPP team members to fulfill SPP’s mission
  • Willingness and ability to: work from a concept to independently develop or contribute to new protocols, systems, education resources, and communications; effectively give, hear, and respond to feedback; collaborate on projects; and be adaptable

Learning Objectives ​(Required for Internships and Work Study)​:

  • Work in a collaborative, engaged community of corrections professionals, scientists, researchers, faculty, staff, students, and inmates
  • Learn from the diversity of experience and expertise of partners and the wide variety of programming; participate in a successful interdisciplinary endeavor
  • Provide valuable contributions to SPP programs and contribute to the SPP Network (national organization of SPPs)
