As\u00a0Administrative\u00a0Coordinator, you will primarily manage the\u00a0day-to-day bookkeeping for our\u200b\u200b\u00a0501(c3)\u00a0nonprofit\u00a0organization.\u00a0This position offers the\u00a0opportunity\u00a0to work both collaboratively and independently on their own responsibilities while working behind the scenes to keep an environmental nonprofit running smoothly.\u00a0The Administrative Coordinator reports to the Finance Senior Manager and\u00a0is\u00a0a\u00a0valued member of a five-person Administrative Team.<\/p>\n<h2 class=\"wp-block-heading\">About Our Organization<\/h2>\n<p><strong>Washington Conservation Action\u00a0<\/strong>is a statewide environmental advocacy organization advancing environmental policies and pushing for actions that equitably address climate pollution, restore Puget Sound, sustain our state\u2019s forests, and protect our democracy. Our team of\u00a0nearly 50\u00a0work\u00a0in a flexible hybrid or remote model; staff living in the greater Puget Sound area\u00a0join together\u00a0in the office two days a week for collaboration, creativity, and celebration. We are led by a CEO who is a citizen of the Confederated Tribes of Warm Springs, Oregon.<\/p>\n<h2 class=\"wp-block-heading\">Responsibilities<\/h2>\n<h3 class=\"wp-block-heading\">Bookkeeping (80%)<\/h3>\n<ul class=\"wp-block-list\">\n<li>Lead WCAEF bookkeeping processes\u2014including\u00a0timely\u00a0bill payment\u00a0and expense entry, union dues &amp; deductions processing, deposit data entry, month-end closing, and credit card reconciliations.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Work with\u00a0the\u00a0Operations Senior Manager\u00a0to ensure\u00a0timely\u00a0and\u00a0accurate\u00a0cross-organizational financial transactions.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Work under supervision of VP of Administration\u00a0and Finance Senior Manager\u00a0to complete annual financial audit and IRS\u00a0Form 990 with auditors.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Other bookkeeping tasks such as tracking bank balances and upcoming expenses.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Resolve bookkeeping anomalies in keeping with Generally Accepted Accounting Principles (GAAP) standards.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Collaborate with the Development team on a quarterly basis to reconcile QuickBooks and our donor database, Salesforce.\u00a0\u00a0<\/li>\n<\/ul>\n<h3 class=\"wp-block-heading\">Administrative (20%)<\/h3>\n<ul class=\"wp-block-list\">\n<li>Attend and take minutes at WCA Board and Executive Committee meetings.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Support onboarding\u00a0new staff\u00a0by conducting\u00a0trainings\u00a0on\u00a0the vendor payment request\u00a0and\u00a0staff\u00a0reimbursement processes.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Maintain positive working relationships with contractors and vendors.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Other duties as assigned as the organization evolves.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Adhere to organizational administrative procedures such as\u00a0timely\u00a0submission of reimbursements, entering time tracking in Rippling HRIS, travel planning, and\u00a0submitting\u00a0credit card receipts from the organization\u2019s credit card within\u00a048 hours\u00a0of the charge.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Assist\u00a0with organizational fundraising, which might include attending events, promoting to your networks,\u00a0assistance\u00a0prior to and during events as needed.\u00a0\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Active participation in a racial equity team which includes taking on work outlined in WCA\u2019s racial equity action plan to advance the organization\u2019s goals.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Adhere to technology use best practices for organizational and job-specific software,\u00a0tools\u00a0and programs.\u00a0<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Requirements<\/h2>\n<ul class=\"wp-block-list\">\n<li>Nonprofit bookkeeping experience, QuickBooks\u00a0Desktop\u00a0strongly\u00a0preferred.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Ability to manage several projects at one time and see them to completion.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Ability to quickly reprioritize according to emergent demands.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Attention to detail and highly organized. Must be great at following up on tasks.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Communicative, collaborative,\u00a0proactive\u00a0and self-directed.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Ability to use discretion with confidential matters and\u00a0always be respectful of others.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Commitment to\u00a0ongoing anti-racist learning\u00a0and applying\u00a0an environmental justice lens to our work.\u00a0\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Ability to come to the downtown Seattle office two times per week.\u00a0\u00a0<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Desirable Skills<\/h2>\n<ul class=\"wp-block-list\">\n<li>Experience working with nonprofit fundraising.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Familiarity with Salesforce database\u00a0or other CRM.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Familiarity with Microsoft Office suite, especially Excel.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Enthusiasm\u00a0about\u00a0learning and using online tools such as Zoom, Slack, Salesforce, Asana, Rippling, and Box.\u00a0<\/li>\n<\/ul>\n<ul class=\"wp-block-list\">\n<li>Ability to keep projects on task\u00a0through proactive communication and reminders to staff, including senior staff.\u00a0\u00a0<\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\">Compensation and Benefits<\/h2>\n<p>This is a full-time, exempt position with an annual salary range of $60,000 to $65,000 depending on experience and qualifications.\u00a0\u00a0<\/p>\n<p>We offer a generous benefits package which includes medical and dental insurance plan options with\u00a0\u200b100% employer paid\u200b\u200b\u00a0premiums\u200b, a 401k plan with an organizational match of up to 3% of your annual salary, a Flexible\u00a0\u200bS\u200bpending\u00a0\u200bAccount, four weeks of vacation to start, a separate pool of sick leave and thirteen paid holidays per year, an unlimited ORCA transit pass, budgeted funds for professional development, and if you work for five consecutive years you are eligible for a two-month paid sabbatical. Must be able to conduct business in English, though fluency in other languages is welcomed.
