The Administrative Assistant 3 position on this team will primarily support the Boating Law Administrator but will also support the Recreational Boating Safety, the Clean Vessel Act Grant, and the Marine Law Enforcement Education &amp; Training programs. You must have analytical &amp; reasoning skills and are committed to promoting diversity, equity and inclusivity practices in the workplace.<br \/><br \/><\/p>\n<\/div>\n<p><strong>Duties<br \/><\/strong>This position reports to the Boating Program Manager and serves as the principal assistant to the Boating Program Manager. \u00a0This position will provide administrative support to the Program Specialist 5&#8217;s and may supervise the Customer Service Specialist 2 and the Office Assistant 3. The Administrative Assistant is required to use independent judgment and develop\/implement work methods for the work unit in order to manage and effectively complete complex and routine job assignments. \u00a0<br \/>\u00a0<br \/>Duties include, but are not limited to:<\/p>\n<ul>\n<li><strong>Serve as principal assistant to the Boating Program Manager (BPM) and supports the Program Specialist 5&#8217;s (PS5)<\/strong>\n<ul>\n<li>Acts as point of contact for BPM for operational and confidential communication, internally and externally. Receive requests and prepare information or respond on behalf of the manager.<\/li>\n<li>Serve as liaison between BPM and staff. Coordinate work unit assignments.\u00a0<\/li>\n<li>Maintain calendar, schedule appointments and meetings with staff, handling all logistical issues; arrange facilities, prepare agendas coordinate materials and resources. \u00a0<\/li>\n<li>Develop original work products and coordinate special projects as assigned. \u00a0Research, compile, and analyze information. \u00a0Keep BPM informed of status. \u00a0Present work products to Operations or Boating teams as assigned.<\/li>\n<li>Review all documents requiring BPM&#8217;s approval for accuracy and completeness prior to presenting for approval. \u00a0<\/li>\n<li>Draft and\/or review correspondence requiring BPM&#8217;s signature.\u00a0<\/li>\n<li>Coordinate all personnel matters requiring BPM&#8217;s or PS5&#8217;s review, keeping all matters confidential. \u00a0<\/li>\n<li>Arrange travel and prepare travel reimbursement for the BPM or PS5.<\/li>\n<li>Occasional travel is necessary to attend offsite meetings or trainings.\u00a0<\/li>\n<li>Work on project teams or workgroups as assigned regarding administrative matters.\u00a0<\/li>\n<\/ul>\n<\/li>\n<li><strong>Provide administrative, contract, and facility support for Boating Program<\/strong>\n<ul>\n<li>Coordinate all purchasing and billing for Boating.<\/li>\n<li>Serve as the point of contact for work unit facility contracts and facility projects as assigned.<\/li>\n<li>Maintain informational resources.<\/li>\n<li>Provide oversight for all forms related to work unit processes and complete any necessary revisions as needed.<\/li>\n<li>Coordinate constituent correspondence process for Boating.<\/li>\n<li>Assist Boating program staff as needed and directed.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>Qualifications<br \/><\/strong><strong>REQUIRED QUALIFICATIONS:<\/strong><\/p>\n<ul>\n<li>One (1) year as an Administrative Assistant 2\u00a0<\/li>\n<\/ul>\n<p><strong>OR<\/strong><\/p>\n<ul>\n<li>Highschool graduation or GED.\u00a0<\/li>\n<li>Three (3) years of progressively responsible experience in office\/clerical, secretarial, bookkeeping, accounting, or general administrative work .<\/li>\n<\/ul>\n<p><strong>AND<\/strong><\/p>\n<ul>\n<li>A valid unrestricted (except for corrective lenses) driver&#8217;s license.<\/li>\n<\/ul>\n<p>**Additional experience may be substituted for education on a year-by-year basis.<br \/><br \/><strong>DESIRED QUALIFICATIONS:<\/strong><\/p>\n<ul>\n<li>Bachelor&#8217;s degree in business, public administration, or a closely related field.\u00a0<\/li>\n<li>Three (3) years of experience composing business correspondence and reports.<\/li>\n<li>Two (2) years of experience with Excel, with at least one (1) year at the intermediate level.<\/li>\n<li>Six (6) months of experience of supervisory experience.\u00a0<\/li>\n<li>Knowledge of state government functions and processes.<\/li>\n<li>Experience working in a confidential environment.<\/li>\n<li>Desire for a career in a Natural Resources Agency or Outdoor Recreation sector.<\/li>\n<\/ul>\n<p><strong>CONDITION OF EMPLOYMENT: <\/strong>All Washington State Parks employees must be fully vaccinated against COVID-19 by the time of hire.
