This will include providing general administrative and fiscal support to the Assistant Vice Chancellor of Diversity, Equity, and Inclusion, monitoring and reconciling budgets, calendaring, meeting coordination and the taking of minutes, communicating with stakeholders connected to the work of the Office, and aiding the Assistant Vice Chancellor of Diversity, Equity, and Inclusion in paperwork and institutional processes necessary to support the Office of Diversity, Equity, and Inclusion.<br \/><br \/><b>RESPONSIBILITIES<\/b><br \/><br \/><b>FISCAL SUPPORT:<\/b><br \/><br \/>\u2022 Prepare fiscal paperwork including but not limited to purchase requests, sole source documentation, personal services contracts, etc.<br \/>\u2022 Perform monthly budget reconciliations for the Office of Diversity, Equity, and Inclusion including the Diversity Center.<br \/>\u2022 Monitor and reconcile departmental budgets, including pursing and resolving issues.<br \/>\u2022 Purchase business supplies, track expenditures and delivery processes.<br \/>\u2022 Assist in purchasing and processing orders\/invoices for other departments that report to the Vice Chancellor<br \/>\u2022 Pay invoices and assist vendors with payment registration.<br \/>\u2022 Prepare spreadsheets and anticipate need for information.<br \/>\u2022 Determine best procedures for financial transactions involving the office budgets.<br \/>\u2022 Manage Procurement Card purchasing ensuring compliance with UW procurement policies.<br \/>\u2022 Prepare and reconcile multiple Procurement Card transactions.<br \/>\u2022 Coordinate travel arrangements; prepare and process reimbursements for travel, supplies and other expenses working closely with UW Bothell Shared Services.<br \/><br \/><b>ADMINISTRATIVE SUPPORT:<\/b><br \/><br \/>\u2022 Maintain and update the UWB Diversity, Equity, and Inclusion web content utilizing Kentico 10 and contribute to updating the content for the web site, including cross-coordinating the event calendar and news feed with other units and entities.<br \/>\u2022 Coordinate agendas, minutes, meeting requests, and room reservations for Diversity Council meetings, and as requested by the Associate Vice Chancellor of Diversity, Equity and Inclusion and the Director of the Diversity Center.<br \/>\u2022 Provide event coordination including organizing and posting information, communicating with supplies, reserving locations and equipment, and purchasing supplies and food when needed.<br \/>\u2022 Draft emails, create flyers and posters, manage newsletter, coordinate printing, and other materials as needed.<br \/>\u2022 Perform complex scheduling and calendar support for the Associate Vice Chancellor of Diversity, Equity and Inclusion and the Director of the Diversity Center.<br \/>\u2022 Helps coordinate and manage the Diversity Center physical space by coordinating student employees to help maintain tidiness of space.<br \/>\u2022 Other work as directed.\u00a0<br \/><br \/><b>PROJECT SUPPORT:<\/b><br \/><br \/>\u2022 Guide new employees in the onboarding process; establishing work space, purchasing computer equipment and business materials, requesting phone line, email account, and provide office orientation.<br \/>\u2022 Assume the role of Records Coordinator and support the Office\u2019s Records Authority in overseeing compliance with the university\u2019s records management policy.<br \/>\u2022 Assist the Student Diversity Center with any logistical support, as requested by the Director of Student Diversity Center.<br \/><br \/><b>MINIMUM REQUIREMENTS:<\/b>\u00a0 \u00a0\u00a0<br \/><br \/>\u2022 High school graduation or equivalent AND two years of experience in the program specialty or equivalent education\/experience.<br \/><br \/><b>ADDITIONAL REQUIREMENTS:<\/b>\u00a0 \u00a0\u00a0<br \/><br \/>\u2022 Exhibit strong organization and planning skills with the ability to establish priorities and organize multi-level tasks and a demonstrated ability to prioritize and executive project details.<br \/>\u2022 Demonstrates high attention to detail in order to manage day to day fiscal and administrative details for the Office of Diversity, Equity, and Inclusion.<br \/>\u2022 Ability to initiate, evaluate, and make recommendations about developing processes and procedures.<br \/>\u2022 Can maintain a high level of confidentiality, respect, and care especially in regards to stakeholders or partners\u2019 accounts of diversity, equity, and inclusion issues<br \/>\u2022 Utilize effective independent judgment and resourcefulness to resolve issues.<br \/>\u2022 Well-developed skill in listening to and responding to people from diverse backgrounds including faculty, staff, students and visitors.<br \/>\u2022 Communicate effectively (both verbally and in writing).<br \/>\u2022 Work independently as well as in a highly collaborative team environment.<br \/>\u2022 Intermediate proficiency with Microsoft Office suite of programs including Word, Excel and Power Point, and with website design and maintenance.<br \/><br \/><b>DESIRED:<\/b><br \/><br \/>\u2022 Knowledge of the University of Washington or other university experience.<br \/>\u2022 Experience with Kentico, My Financial Desktop, Ariba, Excel and Adobe.<br \/><b>Work Expectations<\/b><br \/>\u2022 40 hours a week; Monday through Friday during regular business hours.<br \/>\u2022 Shared space office environment.<br \/>\u2022 Work will be performed across UW Bothell campus.
