The focus will be on Records Management.\u00a0\u00a0Approximately 160 boxes of physical records have been sent off to a vendor to be digitized.\u00a0\u00a0This position will assist in processing those files when they return from the vendor including quality assurance of the scanned versions, migrating those files into the correct document management system (SharePoint, Microsoft Teams, Shared Network Drives, and King County\u2019s Content Management System), performing data entry (inputting digitized inspection forms into Rivers Facility Inventory database), and filing or disposing of the remaining physical records (sending to Records Retention\/Archives or destroying). The person filling the position They will also assist in organizing existing electronic records so they can be accessed easily and efficiently in our telework environment as we transition to new technology tools like SharePoint and Microsoft Teams.<\/p>\n<p><strong>Permanent Telecommuting Requirement<\/strong><br \/>\nThe work associated with this position will be performed remotely on a permanent basis. There will be situations where the employee is required to report to a County worksite.\u00a0<span lang=\"EN\">Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.<\/span><\/p>\n<p>Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. The River and Floodplain Management Section seeks to improve public safety and reduce flood damages through capital improvement projects, targeted acquisition of repetitive loss properties, policy and regulatory recommendations to address flooding problems, and other programs such as public outreach, flood warning, and technical studies. The Section includes engineers, ecologists, scientists and project\/program managers working collaboratively to implement river and floodplain management projects and programs as service provider to the King County Flood Control District. This position will support the administrative team providing office management services for the Section.<\/p>\n<p><strong>PRIMARY JOB FUNCTIONS:\u00a0<\/strong><\/p>\n<ul>\n<li>Plan and coordinate physical record digitization efforts for the Section, including scheduling staff and instructing them on procedures for performing quality assurance review of files returned from the scanning vendor in a safe manner and in accordance with COVID-19 guidelines. Interpret and apply existing King County Records Retention policies, procedures, and codes where relevant.<\/li>\n<li>Utilize Microsoft\u2019s Office 365 Cloud Suite (primarily SharePoint and Microsoft Teams) to organize active electronic records that may include facility maintenance records, capital project files, technical program files, contracts, budgets, grants, payroll, legal documents and\/or other records.<\/li>\n<li>Utilize King County\u2019s Content Management System software to archive inactive records in accordance with King County\u2019s Records Retention policies.<\/li>\n<li>This position may occasionally support the Administrative team in duties such as document proofing, mailings, invoice processing, supply orders and equipment inventory, scheduling meetings, and other duties as assigned.<\/li>\n<\/ul>\n<p>Experience, Qualifications, Knowledge, Skills<\/p>\n<p><strong>REQUIRED EXPERIENCE, QUALIFICATIONS, KNOWLEDGE, SKILLS:<\/strong><\/p>\n<ul>\n<li>Ability to work constructively as a team member and make decisions in a team environment; work with the schedules of other staff and be cooperative and able to compromise and resolve issues with minimal direction; be flexible and work professionally with all levels of staff.<\/li>\n<li>Demonstrated ability to communicate effectively, both in writing and verbally, to clarify and manage expectations, resolve problems, and build trust.<\/li>\n<li>Strong problem-solving and decision-making skills, skillfully assertive when needed.<\/li>\n<li>Demonstrated ability to manage sensitive records and skill in maintaining confidentiality.<\/li>\n<li>Working knowledge of software applications and word processing skills (primarily Microsoft Suite), as well as operation of standard office equipment (multi-line telephone, printers, copiers, plotters).<\/li>\n<\/ul>\n<p><strong>DESIRABLE KNOWLEDGE, SKILLS, AND ABILITIES:<\/strong><\/p>\n<ul>\n<li>Experience with coordinating others and working independently in a remote environment, including experience with various technology tools (like Skype, Zoom) and collaboration platforms (like Microsoft Teams).<\/li>\n<li>Experience with King County specific software systems (Oracle, Content Management System).<\/li>\n<li>Knowledge of records management rules, regulations, codes, laws, policies, procedures and ordinances.<\/li>\n<li>An understanding of the separate roles and responsibilities of King County departments and systems.<\/li>\n<\/ul>\n<p>Supplemental Information<\/p>\n<p><strong>Application and Selection Process:?<\/strong>Application materials will be screened for clarity, completeness including online application, cover letter and resume, and responsiveness to the list of qualifications, skills, and abilities.
