Greetings,\nhard-working colleagues. <\/p>\n\n\n\n

I am writing to provide you some support as you teach and work\nremotely this fall.<\/p>\n\n\n\n

Class lists and Week 1 tracking forms <\/strong>are now available!<\/strong>  You can generate a class list at your convenience and see real-time data about your\nstudents\u2019 registration status. The class list shows you students\u2019 chosen first names (which may\ndiffer from their legal first name) if they asked us to have their chosen first\nname on their record. The chosen first name will appear in parentheses next to\nthe legal first name, the same convention that is used when writing evaluations\nfor students who use first names different from their legal first name. <\/p>\n\n\n\n

How do I get my class list to track week 1 attendance?<\/strong> <\/p>\n\n\n\n

You have access to multiple class list reports. Please choose the \u201cWeek 1\nTracking\u201d option for the first day of class. All faculty teaching in a program\n(not just program coordinators) or course may generate class lists. Go to\nmy.evergreen.edu, select the Class Lists and Evaluations from your Faculty\nmenu, find and click on the name of your program or course, then go to the\nClass List tab and select the term for the list you want. If you run into an\nissue, go to our help wiki for further support http:\/\/helpwiki.evergreen.edu\/wiki\/index.php\/Class_Lists_for_Faculty<\/a>. <\/p>\n\n\n\n

There are options for you to filter the list by Course Reference\nNumber (CRN) or by faculty member, if you wish. These filters are intended to\nhelp you with your work inside the program or course. When creating your Week 1\nTracking list, please use the complete (i.e. non-filtered) option for reporting\nyour registration updates to our office. Print the Week 1 Tracking list as\nclose to the start of your class as possible to have the most up to date list. <\/p>\n\n\n\n

Why should I <\/strong>return a tracking form?<\/strong> <\/p>\n\n\n\n

Returning your Week 1 Tracking form is\nvery important to our work and to students\u2019 finances. Because of the sensitive\nnature of the information on the list, the faculty must turn it in. <\/p>\n\n\n\n

If you\nindicate on the form that a student\u2019s registration should be dropped because\nthey are not attending, you will not need to enter a no credit for them at the\nend of the quarter or need to help them with a petition to drop the\nregistration later. In\naddition, the student will not be in a potential position of owing thousands of\ndollars for something they never participated in.  <\/p>\n\n\n\n

You can also indicate on the form which students you are giving permission to join your program or course so we can help support them with getting registered.\u00a0\u00a0<\/p>\n\n\n\n

How do I give students an override to add registration?<\/strong> <\/p>\n\n\n\n

Faculty who are program coordinators may give students overrides\nin my.evergreen.edu\/faculty class information. This is the preferred way of adding an override, as\nit allows students to complete their registration 24\/7 through 4 pm Friday of\nWeek 1 and keeps our student data secure.  Visit our help wiki (https:\/\/helpwiki.evergreen.edu\/wiki\/index.php\/Banner_Self_Service_for_Faculty<\/a>) for directions\non how to enter overrides in my.evergreen.edu. You may also give overrides on your tracking form or on a\nregistration form. If none of these options work for you, you may also\nemail your consent to registration@evergreen.edu<\/a> and we\nwill enter the override for you.<\/p>\n\n\n\n

A reminder: giving your permission does not finalize\nregistration for the student. They must still follow through by completing\ntheir registration online via my.evergreen.edu or through our office by 4 pm on\nFriday of week 1. <\/p>\n\n\n\n

You may request observer access to Canvas (https:\/\/help.evergreen.edu\/<\/a>) for students who are\ninterested in joining your class but are not yet registered. Students need to\ncomplete their registration by the end of week 2 to be considered enrolled in your\nclass for the quarter. <\/p>\n\n\n\n

What do I do with the list?<\/strong> <\/p>\n\n\n\n

Please return your Week 1 Tracking form to us by Tuesday of Week 2. You may return your class\nlist tracking form in a few ways: <\/p>\n\n\n\n

I have attached a document with our policies and practices related to FERPA<\/a> and Public Records<\/a> regulations, as you conduct first week\nof instruction and throughout the quarter. These policies and practices are designed to\nprotect our students\u2019 privacy and the attached guidance includes helpful\ninformation on protecting your own privacy. Some of the information is specific\nto working remotely but a lot of it is useful information to know even when we\nreturn to in-person settings. <\/p>\n\n\n\n
