Dear Colleagues,<\/p>\n\n\n\n

Welcome to the remarkable 2020-21 academic year! We\nmiss seeing your faces, and we are so grateful for your huge\nwork this summer in a range of institutes, including several aimed at\nmoving along the New Academic Directions model. Thank you,\nthank you!<\/em> It\u2019s been wonderful seeing so many of you remotely through this\nwork, and nice to see you in the Academic Retreat. Time to dig in to\nfall! Please read this set of reminders with care. <\/p>\n\n\n\n

COMMUNICATIONS<\/strong> <\/p>\n\n\n\n

Coordinated Communication<\/strong>. We are aware that you\u2019ve been receiving numerous\ncommunications including COVID updates, the Learning and Teaching Commons\nNewsletter, NAD updates, and more.  All of these\ncommunications are important and are meant to be helpful. This communication,\nwhich we call Resources and Reminders\u2014or the R&R\u2014is a \u201cmissive\u201d from the\nDeans\u2019 Area to faculty on academic matters. We do cross-reference important\nnotices from the LTC and work closely with them and others on\ncommunications. We try to coordinate both content and timing\nof communications, so it doesn\u2019t seem like an avalanche. We try to be\nas thoughtful and helpful as we can with information sharing. With\nthat, please enjoy your 0-Week R&R.  <\/p>\n\n\n\n

The Communication Ecosystem<\/strong>. Students look to faculty as their first and best source of information about the College,\u00a0especially for\u00a0how we are supporting them through COVID-19. There are many ways you can stay up-to-date and provide your students with accurate information: attend staff\/faculty forums\u00a0such as the September 24th\u00a0<\/sup>\u00a0Health and Safety\u00a0Briefing, 11-noon;\u00a0watch past briefings, check for regular updates, and find other resources at https:\/\/sites.evergreen.edu\/covid19\/<\/a>; read weekly updates sent via email;\u00a0and\u00a0ask when you have questions. Keep in mind: students are mostly studying remotely, and it is\u00a0not possible\u00a0for them to run into their favorite former faculty member or staff advisor on Red Square to ask questions.\u00a0\u00a0You are their primary point of contact with the College.<\/strong>\u00a0<\/p>\n\n\n\n

Learning and Teaching Commons\u00a0<\/strong>Please keep your eyes out for the tremendous ongoing flow of resources from the\u00a0Learning and Teaching Commons<\/a>\u00a0(LTC). This amazing Center offers\u00a0their own\u00a0regular\u00a0newsletter<\/a>\u00a0and\u00a0helps to highlight important communications from across the college\u00a0through\u00a0their\u00a0Recast<\/a>\u00a0series.\u00a0\u00a0\u00a0<\/p>\n\n\n\n

LAUNCHING FALL<\/strong> <\/p>\n\n\n\n

Syllabi and Canvas support tools<\/strong>.\u00a0As you wrap up your syllabi and Canvas site, please\u00a0use\u00a0the wonderful guidelines gathered in the document,\u00a0Welcoming Students to Inclusive Learning Spaces.<\/a>\u00a0Here you will find guidelines for inclusive approaches to names and pronouns,\u00a0ways to welcome and support students with a range\u00a0of access needs, credit policy guidelines and so much more. This is a tremendous\u00a0set of guidelines for building a welcoming and inclusive framework for your program or course offering. Additionally, the\u00a0Canvas\u00a0<\/strong>template\u00a0has received a remarkable overhaul that can\u00a0help build a clear platform for your\u00a0class\u00a0and\u00a0offer some continuity of\u00a0student\u00a0experience across campus.\u00a0Bridget Irish<\/strong>\u00a0has offered direct support on:\u00a0Canvas (+ Zoom, Microsoft 365,\u00a0Hypothesis); new curricular template for Canvas;\u00a0WordPress;\u00a0student portfolios using WordPress;\u00a0communicating with students;\u00a0creating community online. Reach out to Bridget directly or through\u00a0https:\/\/help.evergreen.edu<\/a>.\u00a0<\/p>\n\n\n\n

Holidays for Reasons of Faith and Conscience. <\/strong>College policy on Holidays for Reasons of Faith\nand Conscience<\/a> responds to state law https:\/\/apps.leg.wa.gov\/rcw\/default.aspx?cite=28B.137.010<\/a> and requires that you\npublicize the policy in your syllabus. <\/p>\n\n\n\n

Start date and other relevant dates.<\/strong> The first day of remote classes is Tuesday, September\n29th. <\/strong> Please remember to put your synchronous start times\nin Schedule Evergreen and post your Zoom room on\nyour canvas site for your class.  If your program has any\nin-person components, they will start in Week 2 and there will not be\nany in-person meetings after Thanksgiving break. <\/em> <\/p>\n\n\n\n

Registration Tracking Forms<\/strong>:\u00a0Be sure to return your Week 1 tracking forms (accessible from the Faculty section of\u00a0my.evergreen.edu<\/a>\u00a0under “Class Lists and Evaluations”) to the Registrar\u2019s office\u00a0by the end of week one.\u00a0Knowing which students listed are not attending your program or course is very important for those students’ future interactions with Registration and Financial Aid. An oversight at this early stage might mean entering a [false] “no credit” for those students later, which can have major consequences for them.\u00a0\u00a0<\/p>\n\n\n\n

Adding\/dropping.<\/strong>\u00a0If students are adding your program or course be sure they have completed the necessary paperwork through the Registrar’s Office. The deadline for adding or dropping a program or\u00a0adjusting credits\u00a0is\u00a0October 2nd for a 100%\u00a0<\/strong>refund;\u00a0October 9th is last date to drop without it counting toward attempted credits for Financial Aid;\u00a0October 27th is last date to drop with 50%\u00a0refund. Please\u00a0be sure to help students with their settling in and communicate clearly with Registration and Records about who lands where, and whether students are in or out of your programs (including anyone\u00a0you are not sure\u00a0about!).\u00a0<\/p>\n\n\n\n

Submitting Syllabi and Community Agreements:\u00a0<\/strong>The deadline for submitting your Fall quarter syllabus and agreement is October 12th.<\/strong>\u00a0If you have not done so already, please send your fall syllabus and covenant to us using the convenient\u00a0Submit Syllabus and Community\u00a0Agreement<\/a>\u00a0link from the Faculty section of your\u00a0my.evergreen.edu<\/a>\u00a0page. Turning in your syllabus will help us support students, meet our accreditation standards, and better understand the overall state of syllabi and covenants across the college.\u00a0<\/p>\n\n\n\n

ANNOUNCEMENTS<\/strong> <\/p>\n\n\n\n

The CARE Team:<\/strong> The\nCARE Team looks to colleagues across the college–and especially faculty–to\norient students to the resources available at Evergreen. They encourage you to\nbe familiar with services and make direct referrals to students for whom you\nare concerned. Making a referral online to the CARE Team<\/a> will ensure that any\nadditional actions offered by the CARE Team will occur. Those working most\nclosely with students are often best positioned to refer them to resources. The\nCARE Team can guide you in making those referrals.  <\/p>\n\n\n\n

New Human Subjects Review protocols. <\/strong>We have a new process for Human Subjects Review at\nEvergreen. Please review the new guidelines<\/a>. We now offer training through CITI<\/a>, the Collaborative\nInstitutional Training Initiative. Whether your students’ projects require a\nfull HSR review or not, this is a wonderful educational resource, and we\nencourage you to build this online training into your programs to help students\nlearn about ethical research. As part of the Academic Retreat, on Monday,\nSeptember 21<\/strong>, from 3:45-5:00<\/strong>, we will offer a workshop to help\nwalk through the new HSR process. We invite you to join us at that time to be\nguided through the process and ask questions. Please note that the IRB\n(Institutional Review Board) will meet twice a quarter (applications are due\nMonday 5:00 of week 3 or week 6) deadlines). Thanks and\nacknowledgement to Sue Feldman, Mike Craw and Amadou Ba, <\/strong>who\nhelped with this transition to a much-improved system! <\/p>\n\n\n\n

SURF Celebration:<\/strong> This\nyear\u2019s SURF celebration will again coincide with the annual Return to\nEvergreen event, and will be virtual.  SURF\nstudents are busily recording presentations right now to share at\nthis October 17, 2020<\/strong> event.  We hope you will visit\nthis virtual event to learn more about what student and faculty teams have\nworked on this summer (links to be provided in upcoming communications). <\/p>\n\n\n\n

Faculty Grants:<\/strong> This year, we will\nbe offering Sponsored Research Grants only.  Sponsored Research<\/a>  Grant Applications\nare due October 26, 2020 by 5:00pm<\/strong> (No late applications\naccepted). <\/p>\n\n\n\n

Academic Statements:<\/strong> Fall\nis the season when full-time programs include at least 6 hours of in-program\nwork on the Academic Statement.Half-time programs should include\nat least three hours during the quarter. Consider a weekly shared\nreflection on the learning and\/or using the academic statement as an\noccasion for one-on-one conversations about students\u2019 needs, hopes, and academic\ndirection. Resources for in-program work are on the Academic Statement Canvas page.<\/a>  <\/p>\n\n\n\n

Expressive Events. <\/strong> The\ncollege has a team of people who aim to prepare for and respond to free\nexpression events (such as teach-ins) on campus. If you know of an\nevent coming up, please let folks in the Deans\u2019 Area know (deans@evergreen.edu<\/a>) so we can best\nsupport our students and other members of our campus community.  <\/p>\n\n\n\n
